Overview A detail-oriented, organized Multimedia Coordinator will serve as a key member of the creative team in the marketing department. This role will be the primary connection from our creative team to the field in building relationships and scheduling shoots so we can capture photos and videos for marketing purposes. A person who can tackle balancing schedules and digital asset management will thrive in this role. Responsibilities Coordinate photo and video shoots as needed, including connecting with site contacts, operational leadership, and senior executives based on needs. Organize all logistics for the multimedia team to capture assets on project sites, in-office, or in our marketing studio. Build and maintain relationships with relevant site contacts to aid in scheduling. Assist multimedia team with asset management, setting up folders per the department file management process and helping them sort through their assets post-shoot. Collaborate with Content Manager to back into a schedule and ensure we have assets in a timely manner to satisfy the content calendar. Coordinate with Safety and Operations leaders to get approval on photo and video assets prior to use using portals on Canto, our digital asset management tool. Collaborate with Multimedia Manager to manage inventory of all multimedia tools, set designs, and studio props. Coordinate all headshot needs for new employees and assist in establishing a scalable process for updating outdated pictures and scheduling people as needed. Organize and process asset folders, maintaining systems for both project flow and file storage for all creative projects. Prepare and package assets for publishing, promoting, and distributing to the appropriate internal team members and external audiences. Meet with cross-functional stakeholders to assess upcoming projects, timelines, and deliverables. Communicate with the team to ensure they have what they need to complete projects on time with high quality expectations. Work with external vendors to facilitate projects in other markets, when necessary. Foster collaborative and results-driven communication across all groups to drive alignment, best practices sharing, and maximized program efficacy. Qualifications Ability to achieve results through multiple stakeholders across departments. A strong voice to drive forward multiple projects and initiatives simultaneously in ambiguous and changing environments. Strong listening skills as well as excellent people skills to interact with a wide variety of internal stakeholders and external partners. In-depth understanding of the marketing landscape, including the use of Adobe Creative Suite, and have an interest in staying on top of new developments/changes. Hyper-organized with a proven ability to drive successful project completion on time. Excellent communication and collaboration skills while bringing a positive energy to the team. A desire to improve, grow, and educate yourself, whether it's your marketing skills or personal goals. You are proactive and demonstrate strong initiative, driving new projects and managing workstreams that are not basic, turn-key projects, coming to your manager with solutions, options, and recommendations. Results-oriented with ability to increase the efficiency and productivity of the multimedia team. A joy for creative problem solving and innovative thinking. Education/Certifications Bachelor's degree in Marketing / Communications or relevant field, or equivalent professional experience Safety Level This is a safety sensitive position, and all applicable policies including drug test and background check will apply.
