ABOUT THIS OPPORTUNITY ADW
Communications is seeking an organized and motivated Project Coordinator to join our growing telecommunications construction division. The Project Coordinator supports Project Managers and field teams throughout the full lifecycle of telecom projects—including pre-construction, permitting, material management, construction, closeout, and invoicing—by keeping schedules, documentation, and project data accurate and up to date. This role is the administrative backbone of the project team, ensuring information flows smoothly between the field, the office, and our customers. A strong candidate is detail-oriented, communicates clearly, and thrives on keeping multiple moving pieces organized in a fast-paced construction environment. KEY RESPONSIBILITIES 1.
Project Documentation & Administration Maintain organized, up-to-date project files, including contracts, permits, drawings, redlines, daily reports, and closeout packages. Track and assemble customer-required documentation (NTP, JSA, test results, punch lists, closeout packages) and verify completeness against specifications. Enter and maintain accurate project data in company systems (QuickBase, SharePoint, or similar). 2. Scheduling & Coordination Support Assist Project Managers in maintaining project schedules, milestones, and look-ahead schedules (1-week and 3-week). Coordinate crew, subcontractor, and vendor activities to keep work sequenced and on track. Schedule meetings, prepare agendas, capture action items, and follow up on open tasks. 3. Material & Logistics Support Track material orders, deliveries, and inventory against project needs; flag shortages or delays early. Coordinate with Supply Chain and field teams on material staging and site logistics. Process purchase order requests and verify receipts against POs. 4. Reporting & Data Support Compile daily and weekly progress data from field teams (production counts, timesheets, equipment logs). Support preparation of weekly status reports and customer reporting packages. Assist with tracking change orders, subcontractor invoices, and billing milestones for the invoicing pipeline. 5. Team & Customer Communication Serve as a communication hub between field crews, office staff, subcontractors, and customers. Respond promptly to information requests and route issues to the right owner. Support job kickoffs, subcontractor onboarding, and project closeout processes.
REQUIRED QUALIFICATIONS
Education High School Diploma/GED required; Associate's degree or coursework in business, construction management, or a related field a plus. Experience Minimum one (1) year of project coordination, administrative, or office support experience, preferably in construction, telecommunications, or a related industry. Demonstrated experience managing documentation, schedules, or multi-party coordination. Technical Skills Proficiency with Microsoft Excel, Word, and Outlook; ability to learn project management and database tools quickly. Strong computer and organizational skills; demonstrated ability to manage multiple data streams. Accurate data entry and attention to detail. Soft Skills Exceptional verbal and written communication abilities. Strong problem-solving skills; ability to prioritize and follow through on multiple tasks. Professional demeanor and customer service orientation. Flexibility and adaptability in a fast-paced, sometimes unpredictable project environment.
PREFERRED QUALIFICATIONS
Prior experience supporting telecom, utility, or civil construction projects. Familiarity with project management tools (Microsoft Project, QuickBase, Smartsheet, or similar). Experience working with permits, subcontractor documentation, or government-contracted projects. Basic understanding of construction documents (drawings, BOMs, redlines). Why Join Our Team?
