Job Description:

Position Description:
The Production Coordinator is responsible to ensure the successful execution of live event projects/productions, including support for advance and planning, on-site execution, and wrap and reconciliation. They proactively and professionally support internal collaboration and communication, vendor management, scheduling, budgeting, troubleshooting problems and more.
Responsibilities:
Executes advance tasks: confirm vendor details, create and circulate schedules, and maintain production timelines. Onboards new vendors and independent contractors. Supports on-site event execution.
Support wrap activities:
organize files, close out vendor paperwork, and submit invoices. Track actuals against an existing budget using provided tools and templates, flag any discrepancies. Gather quotes and organize vendor information to support project budget. Execute vendor agreements for confirmed vendors. Maintain vendor records including contracts and insurance certificates. Communicate with vendors directly to confirm onsite logistics. Create, maintain production schedule with project team. Create, maintain production inventory / maintenance logs. Submit approved project invoices in company accounts payable system. Hires and oversees event support staff maintaining appropriate work hours and breaks. Support project team in all areas including set up/install, event, and load out. Build and oversee the on-site production office. Address client, vendor, and team inquiries/requests and issues promptly in a professional solution-oriented manner. Monitors event activities with project team, troubleshooting any potential challenges; creating and implementing contingencies when needed. Maintain a detailed and thorough filing system of all current and past event files on the shared drive. Other duties as assigned.
Qualifications:
2+ years of event production experience. Demonstrated ability to manage multiple projects effectively. Superior interpersonal and organizational skills. Foundational knowledge of labor, audio, video, and lighting to be able to support logistics and communicate with crew accurately. Ability to work in a demanding environment and through difficult situations. Able to work flexible and long hours, including late nights and weekends. Must have an impeccable attention to detail. Quick-thinking and an adept problem-solving skills. Display initiative, accountability, while also working as a constant team player who is collaborative, positive and flexible. Computer literate on Apple / Mac. Must have a high level of proficiency in Microsoft Outlook and Microsoft Office Suite.
