Job Description

Job Summary We are seeking a dynamic and highly organized Office Coordinator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of the office environment. Your energetic approach and exceptional organizational skills will help manage administrative tasks, coordinate events, oversee vendor relationships, and support team members across various departments. This position offers an exciting opportunity to lead office management initiatives, enhance communication flows, and contribute to a positive workplace culture. The ideal candidate is proactive, detail-oriented, and passionate about creating an organized and welcoming office atmosphere. Responsibilities Support project management activities by coordinating schedules, resources, and timelines for the testing technical team Manage and maintain project schedules , including technician assignments, site visits, and deadlines Track project progress and proactively follow up to ensure tasks are completed on time Prepare, organize, and maintain project documentation, technical reports, and engineering records Assist in compiling, reviewing, and formatting client deliverables and test reports Maintain accurate project tracking logs , status updates, and documentation systems Coordinate communication between field technicians, engineers, clients, and management to ensure project alignment Monitor project milestones and assist in identifying potential delays or issues Support document control processes, including version control and proper record management Assist with invoicing, billing, and purchase order tracking in alignment with project progress Conduct outdoor site visits as needed to support project coordination and field operations Ensure all project files are complete, organized, and compliant with company standards Qualifications Associate's or Bachelor's degree in Business Administration, Project Management, or related field preferred 2+ years of experience in project coordination, office coordination, or similar role Experience in engineering, construction, or technical environments is strongly preferred Strong organizational and time management skills Ability to manage multiple projects and competing priorities effectively High attention to detail, especially in documentation and tracking Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with project management or document control systems preferred Excellent written and verbal communication skills Join us to be a pivotal part of our vibrant team! Pay:
$22.45 - $25.00 per hour
