Stories Illuminated LLC is looking for a temporary Project Coordinator for full time work between June 8, 2026 and July 8, 2026. We're looking for someone who can learn quickly and integrate with our team well.
SUMMARY:
The Project Coordinator is responsible for ensuring the success of projects by coordinating the technical, administrative, and personnel needs of installations and events, while working closely under the supervision of Project and Operational Leads. They assist in organizing all aspects of events from conception to execution and support the team to ensure client objectives are achieved.
DUTIES AND RESPONSIBILITIES
Support project and operational Leads with event production and logistics related to lighting, audio, video, and special effects, from pre-production through project wrap. Collaborate with project leads to create, document, and approve event production plans including objectives, scopes, schedules, and budgets. Partner with project leads to staff events while keeping labor costs on budget. Track production schedules, monitor progress, and proactively communicate status of assigned projects to the leadership team on an ongoing basis. Track budgets to ensure cost management while delivering on client objectives. Ensure projects run smoothly, proactively identifying and resolving risks and challenges. Communicate effectively with a wide range of stakeholders including designers, technicians, vendors, and clients to keep everyone in the loop. Assist Project Lead in scheduling meetings; attend project meetings and ensure all details are appropriately captured, recorded, and distributed. Gather and maintain paperwork such as permits, client files, run of show, etc. Coordinate project logistics such as deliveries, travel, site needs, credentials, etc. Seek and document required approvals from clients, internal, and external teams. Support the design team and crew onsite, participating in walkthroughs, and conducting follow-ups to make sure everything goes off without a hitch. Document completed projects with photos and notes for company portfolio and social. Complete comprehensive postmortems, gathering feedback into an overall report. Maintain a professional, supportive, and safe work environment, in-office and on-site. Act as point of contact on-site to ensure everyone has the logistical information they need to arrive, check in, and start working. Source and manage vendors and suppliers; maintain an internal database of vendors. Manage hardware inventory, tracking and distributing gear in support of events. Participate in new business, such as joining client calls or proofing proposals, as needed. Assist production crew with on-site job functions as needed, including Project Assistant responsibilities such as tracking receipts, coordinating meals, and making runs. Perform other related duties and special projects as assigned by management.
QUALIFICATIONS
Degree in event management or related field, or equivalent experience 2-3 years experience in an event production, operations, or related role, preferably working with large brands, agencies, and/or fabrication shops. Thorough understanding of various aspects of live events production. Valid driver's license, able to deliver gear to site, and occasionally drive cargo vans. Available to work weekends and evenings as needed for events. Experienced with event and project management software such as Lasso Scheduling, as well as office tools including Microsoft Office and Google Suite. Excellent communication and interpersonal skills, able to communicate clearly with internal and external stakeholders of varying levels and positions. Organized, detailed, and able to meet deadlines and help drive projects to completion. Capable of handling multiple projects simultaneously in a fast paced environment; able to remain calm, professional, and responsible under pressure. Experience working with budgets, negotiating with vendors, or managing suppliers. Customer-service oriented, with an aptitude and interest in new business development. Team player, able to organize workflows and empower others to get the job done. Knack for problem-solving and adapting to change with efficiency and competence. Eager to learn new skills and broader understanding of event and client needs. Able to make clear and concise decisions; sometimes with limited information.
