DETAILS ABOUT THE PROJECT COORDINATOR
Position Summary The Project Coordinator provides administrative, operational, and project management support to Support Services and Facilities leadership. This role coordinates department initiatives, committee activities, onboarding processes, financial administration, and facilities-related projects to ensure efficient operations across the health system. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects and priorities in a fast-paced environment. Key Responsibilities Coordinate and implement a variety of departmental projects and operational initiatives while providing day-to-day support to Support Services leadership. Manage full-cycle project coordination activities, including meeting planning, scheduling, logistics, facilitation support, agenda preparation, meeting documentation, and follow-up activities. Coordinate new hire onboarding activities, including workstation setup, IT access requests, equipment coordination, and orientation support. Maintain committee calendars and schedules; coordinate meetings, reserve conference rooms, prepare notices and agendas, document meeting minutes, and distribute materials. Support committees by managing submissions, reviewing documentation for completeness and accuracy, and providing feedback to stakeholders as needed. Maintain centralized records repositories and documentation for Facilities operations across the health system. Oversee tracking and coordination of Planned Maintenance activities and Planned Events throughout Facilities departments. Provide administrative and financial support for Facilities operations, including purchase order requests, invoice processing, expenditure tracking, contract request forms, capital project support, and vendor setup documentation. Perform financial and operational analyses related to equipment purchases, product standardization opportunities, and departmental initiatives. Coordinate and facilitate access to blueprints, schematics, floor plans, and other facilities-related documentation. Prepare reports, maintain project documentation, and monitor project timelines to ensure successful completion of assigned initiatives. Perform additional administrative, analytical, and project support duties as assigned. Qualifications Bachelor's degree preferred; equivalent combination of education and experience considered. Experience supporting projects, operations, facilities, healthcare administration, or related functions. Strong project coordination, organizational, and administrative skills. Experience coordinating meetings, committees, and cross-functional initiatives. Knowledge of financial processes including purchase orders, invoices, budget tracking, and vendor management. Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. Excellent written and verbal communication skills. Ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment. Strong analytical, problem-solving, and customer service skills.
