Redding, CA Job Details Full-time $25 - $32 an hour 1 day ago Benefits Health insurance Dental insurance 401(k) Paid time off Vision insurance Qualifications Teamwork High school diploma or GED Attention to detail Organizational skills Construction administrative experience Full Job Description World Telecom & Surveillance, Inc. is a leading provider of low voltage systems and solutions, specializing in security surveillance systems, access control systems, data/communications, audio-visual, etc. We are currently seeking a highly organized and detail-oriented Low Voltage Assistant Coordinator to support our project management team in the efficient execution of projects. As a Low Voltage Assistant Coordinator, you will play a vital role in maintaining project organization and ensuring the smooth flow of critical documentation and materials. You will work closely with Management and other team members, focusing on the meticulous tracking of key project elements and providing essential administrative support.
Responsibilities:
Contract Tracking Support:
Assist in the systematic tracking of project contracts, including key dates, amendments, and relevant documentation.Change Order Administration:
Support the logging, organization, and tracking of project change orders, ensuring proper documentation and facilitating the approval process.Submittal Coordination:
Assist in the organization, distribution, and tracking of project submittals, ensuring timely reviews and approvals.O&M Documentation Support:
Aid in the collection, organization, and tracking of Operation and Maintenance (O&M) manuals and related close-out documentation.Material Order Processing Support:
Assist in the preparation, processing, and tracking of material orders, verifying quantities, pricing, and delivery schedules.Job Site Setup Assistance:
Support the initial setup of job sites by organizing project documentation, coordinating initial material deliveries, and assisting with communication setup.Project Documentation Control:
Maintain accurate and organized project files, both electronic and physical, including contracts, change orders, submittals, O&M manuals, material orders, and other relevant documents.Communication Liaison:
Serve as a point of contact for project-related information, assisting in the distribution of documents and facilitating communication between internal teams, subcontractors, and vendors under the direction of the Management.Administrative Support:
Provide general administrative support to the Management, including scheduling meetings, preparing agendas, and taking meeting minutes.Data Entry and Reporting:
Assist in the accurate entry of project data into relevant systems and the generation of basic tracking reports as needed.Issue Tracking Support:
Assist in the logging and initial tracking of project-related issues and concerns, escalating them to the Management for resolution.Compliance Assistance:
Support the team in ensuring project documentation and processes adhere to company standards and relevant regulations.Qualifications:
High school diploma or equivalent required Two years of experience in an administrative support role, preferably within the construction or low voltage industry. Strong organizational skills with a proven ability to manage and track multiple streams of information. Excellent attention to detail and accuracy in data entry and documentation. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Experience with Procore Project Management Software is a plus. Strong written and verbal communication skills. Ability to work effectively both independently and as part of a team. A proactive approach to tasks and a willingness to learn about low voltage systems and project processes. Valid driver's license and reliable transportation.Personal Attributes:
