Department Head, Project Management Summary of Position:
An office-based position that supports the staff of Project Managers to build quality, custom residential landscapes; works closely with Project Managers, and focuses on contract administration, billing, job costing and labor reports, purchasing, project tracking, and project closeout. Essential Duties and Responsibilities may include some or all of the following. Other duties may be assigned as needed. 1) Project Startup a. Add new projects to project tracking spreadsheets b. Work with PM to set up digital folders, brown folders and field binders c. Set up job costing sheets by entering bid data d. Prepares PM for purchasing by collecting quotes, doing takeoffs and pulling together material submittals e. Collect, print and disperse plans 2) Project Administration a.
Billing:
- Track projects to bill and set up billing for all Project Managers
- Write up Work Orders for PMs
- Prepare Time and Materials Billing
- Report billing status to Department Head b.
Occasionally participate in meetings with PM/Super c. Write meeting notes for PM to review/publish d. Put together submittals on project materials to prepare for purchasing e. Assist or take lead with Material Purchasing at the direction of the PM and/or Superintendent f. Track paperwork from field; review receipts on occasions when PM needs the assistance g. Maintain accuracy of Job Profitability Spreadsheet and Hours Spreadsheet for PM to access at any time for different reasons h. Process Change Orders i. Printing and dispersing of plans j. Run reports on labor as directed by PM Department Head/PM to compare to budget allowances k. Post projections and assist with spreadsheets per Department Head direction l. Assist with Actual Billing spreadsheet and monthly, quarterly, yearly reports m. Assist with the setup of Subcontractors on projects; request insurance; provide updated plans to Sub at the direction of the PM n. Maintain and organize project file in server with all correspondence, plans, submittals, quotes and other project documentation 3) Project Closeout a. Help PM with various closeout tasks, such as writing Plant Warranty Start letter and tracking replacements and finalizing warranty b.
As builts:
review as builts provided from field and work with PM to draft in computer c. Some projects require a "close out binder" Qualifications and Required Skills a. Strong listening, verbal and written communication skills b. Follows direction carefully and fully accomplishes tasks requested c. Detail oriented d. A competent problem solver e. A beginner's understanding of the construction process f. Exceptional customer service skills g. A beginner's understanding of contract administration budget management h. Proven ability to multi-task and meet assigned timelines i. Very well organized with paperwork and record keeping j. Strong computer operating skills, specifically with Microsoft Excel k. A beginner's understanding of estimating l. Ability to keep up with a fast-paced work environment m. Maintain a professional appearance appropriate to our environment Education and/or Experience Preferred but not required: Associate's degree (A.A.) or equivalent from two (2)-year college or technical school with a minimum of 2 years project management experience in the landscape industry Mathematical skills Basic arithmetic, geometry, algebra, fractions, ratios, calculating percentages Physical Demands The physical demands and the work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
