This role is responsible for coordinating special projects, supporting corporate administration, assisting with vendor and consultant relationships, and helping ensure the successful execution of company priorities. The ideal candidate is highly organized, attentive to detail, naturally curious, and capable of managing multiple responsibilities in a fast-paced environment. Success in this role requires exceptional follow-through, strong communication skills, sound judgment, and the ability to effectively coordinate people, projects, vendors, and resources. Essential Duties and Responsibilities Corporate Administration Support Provide direct administrative, operational, and project support to the CEO and Controller. Assist with insurance renewals, policy administration, licensing, permits, and other corporate compliance requirements. Assist with managing company contracts, service agreements, and renewal schedules. Track priorities, projects, and action items to ensure timely follow-up and completion. Conduct research, gather information, and prepare materials to support executive decision-making. Support operational initiatives and administrative projects as assigned. Handle confidential and sensitive information with professionalism and discretion. Serve as a trusted resource to executive leadership by helping drive organizational priorities and strategic initiatives. Corporate Special Projects Coordination Lead special projects from planning through implementation, ensuring accountability, follow-through, and successful execution. Lead facility improvement projects, office remodels, and related initiatives as assigned by executive leadership. Coordinate contractors, vendors, project schedules, budgets, and implementation activities. Monitor project timelines, deliverables, and budgets to ensure successful completion. Research unfamiliar business-related initiatives, evaluate options, and develop recommendations. Take ownership of ad hoc assignments and emerging business priorities. Coordinate cross-functional efforts to support special projects and organizational initiatives. Vendor & Consultant Coordination Assist with the coordination of external vendors, consultants, contractors, and service providers and their related invoices Coordinate relationships with non-operational vendors, including IT providers, GreenBox, insurance brokers, and other business service partners. Provide accounting, administrative, operational, and project support related to vendor and consultant management. Assist with obtaining proposals, gathering information, comparing options, and facilitating vendor selection processes. Maintain vendor budgets, track expenditures, and assist in monitoring costs to ensure alignment with approved budgets and company objectives. Coordinate communication with vendors and consultants while tracking project milestones, deliverables, and outstanding action items. Support leadership in evaluating vendor performance and service quality. Cross-Functional Coordination Build and maintain strong working relationships across all levels of the organization. Coordinate cross-functional efforts and ensure accountability for project deliverables. Serve as a reliable resource for executives, managers, employees, vendors, consultants, and business partners. Qualifications Required Qualifications Bachelor's degree preferred or equivalent professional experience. 5+ years of experience in an executive support, management, operations, project leadership, business administration, or similar role with demonstrated responsibility for coordinating high-priority initiatives and supporting senior leadership. Strong organizational and project management skills. Excellent written and verbal communication abilities. Proficiency in Microsoft Office, Google Workspace, AI-powered productivity tools, and other business software applications. Ability to manage confidential information with discretion and professionalism.
Pay:
$105,000.00 - $120,000.00 per year
