The Project Manager is the connective tissue of every event. You sit at the intersection of Sales, Production, Warehouse, Field, and Client — keeping information moving, deadlines met, and teams aligned from the first planning call through the final strike. This role is equal parts logistics brain and people connector. At its core, the PM is the primary conduit through which information flows to the Design Manager, freeing the DM to focus on design, installation, and crew management.JOB DESCRIPTION
Pre-Production Own theGL Production Schedule:
build a detailed spreadsheet for each assigned event, completed no later than 48 hours before the first load-in day. Build out a Trucking Schedule in coordination with the Warehouse and Production teams as needed. Analyze contracts, red notes, plots, and pull lists for consistency across all documents. Sync GL's internal production timeline with the client's run of show — identifying discrepancies, confirming breaks and meals are accounted for, and flagging any adjustments needed. Correspond with clients and co-vendors to lock in crucial event details: floorplans, power needs, storage, timeline, and overall logistics. Serve as a direct point of support for the client alongside Sales, fielding questions and relaying adjustments throughout the pre-production process. Attend walkthroughs, take notes, and help gather, consolidate, and upload event documents to the appropriate internal systems. Keep a clear, running view of all deadlines and ensure information flows across all departments without dropping threads. Onsite Production Act as the primary information conduit between the GL Office, Warehouse, and the Design Manager — enabling the DM to stay focused on design execution and crew management. Serve as the known point of contact for clients and co-vendors onsite, fielding questions and relaying client-directed adjustments to the DM in real time. Own the operational layer of onsite logistics: crew parking, restrooms, meet points, break areas, and case management.Track labor compliance:
proactively flag overtime, breaks, meal penalties, and new minimums to the DM before they occur. Coordinate trucking throughout installation and strike, including shop drops and shop adds in collaboration with Design Managers, Producers, and Warehouse Managers. Assist the DM with field staff check-in/out and sub-hired labor management. Work with the DM to maintain a clean, organized GL footprint on site day to day. Order, deliver, or coordinate crew meals. Compose daily progress and show reports — including photos — in collaboration with and on behalf of the Design Manager(s).QUALIFICATIONS
Industry Experience:
Experience in event production, live events, or a related field. Familiarity with lighting, AV, staging, or event production workflows is a plus.Technical Skills:
Proficient with spreadsheets (Google Sheets preferred) and comfortable building and managing scheduling documents. Exceptionally organized with strong attention to detail across multiple simultaneous projects.Communication :
