Vektor Engineering & Consulting Services, Inc. (or "Vektor" for short) is looking for a Project Coordinator to join our team. As Project Coordinator, you will be working with a close-knit team of Engineers, Designers, Project Managers, and BIM Technicians. We are looking for applicants who are punctual, organized, self-motivated, detail-oriented, professional, are willing to help Vektor grow, and are a good match with the rest of our staff and our company culture. Built on the idea of an open and transparent company that provides high quality Engineering and Consulting Services. Our office is located on the Bishop Ranch campus in San Ramon, CA. We participate on projects in various sectors including, but not limited to: Light Industrial, Commercial, Residential, Institutional, Education, and Health; and perform Engineering Services that are listed as part of our Brochure on our website. Mandatory, assist Project Manager with coordinating and managing projects through customer service and mutual benefit practices. Daily, assist Project Manager to monitor communication channels such as email, meetings, and other media and update project folders as needed to retain information and file exchange. Keep record of information exchanged and take meeting minutes when needed. Weekly, coordinate with Project Manager to organize and update project related data such as schedule, coordination trackers, budget, and applied time. Weekly, coordinate with staff to assist Project Manager with a weekly agenda for the Project Manager Weekly Meeting and the All-Hands Weekly Meeting. Weekly, audit time applied by staff, and report any discrepancies or concerns to Project Manager. Weekly, audit staff expense reports for accuracy and coordinate with respective Project Manager to include into various project budgets. Weekly, assist with office operations by tracking and updating on-hand inventory and replenishing consumable supplies. Monthly, report out on project status and continually identify areas of improvement. Provide feedback for other disciplines, focus on improving business practices. As needed, assist the management staff to pull data and put together financial reports to be used in quarterly and yearly statements. As needed, with contribution from management staff, create Cost Estimates, Invoices, and Proposals for projects. And set up, organize, and maintain project folders. As needed, attend project meetings at project address and other events for business development or client relations.Desired Skills:
Legally able to work in the United States. Posses a valid California driver's license. At least a bachelor's degree or equivalent in Business Administration from a four-year college or university with at least 1 year of experience in a comparable job or in a related position. Excellent written and communication skills. Experience with Windows OS and Microsoft Office. Ability to work well in a team environment. Mutual respect, tolerance, and coexistence. Strives to exceed the basic expectations. Self-starter and self-motivated. UnderstandS.M.A.R.T.
goals and how to stay committed to a timeline.Recommended:
Knowledge of the Windows operating system and file structure, for example how to map a network drive, or how to use OpenVPN to connect remotely. Experience with Google Meet, Zoom, GoToMeeting, Microsoft Teams, and other virtual meeting software suites.Benefits:
Hourly rate of $22-$38/hr. based on experience and evaluation. Flexible hours, part time that may lead to full time as needed, driven by availability of project work and market conditions.
