Job Description

Since its founding in 1974, Select Electric, Inc. has been serving the electrical construction market in the San Diego, Orange County, & Los Angeles region with primary focus on transportation infrastructure projects. As the leader in this field, we have extensive experience and resources to undertake any transportation project ranging from traffic signals to the most complex transit and commuter rail systems. We are currently looking for a Project Coordinator position at our Anaheim, CA location .
PURPOSE:
To provide Data Entry and administrative support to operations, equipment and estimating departments.
ESSENTIAL DUTIES
Support multiple departments with administrative task. Performs additional assignments as directed by direct Supervisor. Manage variety of documents, many highly confidential. May write letters, and memos and emails. Photocopy documents, as required. Process incoming and outgoing mail, sort for departments. Distribute and / or handle items not requiring executive's attention. Perform other duties as assigned.
Operations:
Collecting T&M tickets from field personnel with all invoices, cert payroll, equipment rates to process Labor Compliance - Craft requests, set up of project safety orientation, check and follow up on disadvantaged / targeted employees (field only), work with WSCC labor compliance to assure we are in compliance and answer questions. Type up subcontracts and PO's for MPO's. Track and follow through on contract comment resolution internally and externally. Circulate final documents for approval. Request additional proposals from subcontractors and vendors DBE Compliance - Set up advertising for solicitation of DBE subcontractors, track / monitor DBE sub usage, track / monitor DBE usage on material suppliers, log and track all good faith efforts made to DBE'. Logging and filing of project documents.
Equipment:
Formulate, submit and track submittals for materials used Responsible for maintaining spreadsheet on equipment location and assignments. Responds to calls from the field requesting equipment be dispatched to job site. Call in daily inspections to local agencies Report and input of daily play of the day on the GC's daily schedule Receive material being delivered to the job site
Estimating:
Coordinate public agency bid solicitations (cities, counties, Caltrans, and other entities). Download, organize, review, and distribute bid documents to estimating team. Maintain bid calendars, due dates, and pre-bid meeting schedules. Prepare and assemble bid packages including bid forms, bonds, insurance certificates, and compliance documentation. Verify bidder requirements including contractor licensing, DIR registration, DBE/MBE participation, and bonding capacity. Maintain and document good faith efforts in compliance with minority participation requirements. Provide estimating support including document control, quantity takeoff setup, and scope summaries. Coordinate bid submissions (electronic and hard copy) and confirm delivery/receipt with agencies.
EDUCATION/EXPERIENCE
Required high school Diploma and / or GED equivalent. Minimum 2 years administrative experience with research responsibilities, which would provide the applicant with desired skills, knowledge and ability required to perform the job.
SKILLS, PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
Ability to be friendly, courteous, tactful and maintain composure in dealing with customers and co-workers. Must possess good communication, organizational and problem-solving skills. Working knowledge of business procedures and letter and report formats. Ability to type accurately and maintain confidentiality of work items at all times. Manual dexterity and eye-hand coordination are necessary. Mental alertness is necessary to ensure accurate and thorough completion of work activities. Requires the ability to sit for prolonged periods and the ability to operate related equipment such as computer, calculator, copier, fax machine, etc. Knowledge of Word, Excel and Outlook.
