In this role, you'll confirm project data, assist in mapping work areas, coordinate schedules, and manage permitting processes. You'll play a key role in keeping projects organized, ensuring accurate records, and supporting both office and field teams for smooth project execution. Job duties include but are not limited to the following: Key Responsibilities Review and confirm project data for accuracy and completeness. Assist in mapping routes, service areas, or work zones for wet utility construction projects. Develop and propose work schedules and crew assignments in collaboration with project managers. Coordinate with traffic control, permitting authorities, and other agencies to secure required approvals. Request and track inspections, utility locates, and other clearances related to construction activities. Schedule and coordinate inspections based on project timelines and sanitation district requirements, collaborating with team members and submitting through city portals. Maintain and update project tracking tools (spreadsheets, logs, or databases) to support effective planning and reporting. Serve as a quality control point for data from forms, reports, and communications. Collaboration & Reporting Work closely with customer or client coordinators to align scheduling and communication with property owners. Partner with field supervisors and crews to confirm schedules, track progress, and ensure accurate documentation. Expected Outcomes Deliver accurate schedules and data that enable managers and supervisors to keep construction workflows efficient. Provide project teams, clients, and company leadership with a clear view of project status and upcoming tasks. Support effective communication between office staff, field crews, and external partners. Qualifications This role is ideal for you if: You're skilled at organizing complex information and keeping multiple moving parts on track. You communicate effectively with diverse personalities in both office and field settings. You excel at repetitive, detail-oriented tasks and thrive on accuracy. You demonstrate integrity and confidentiality in handling sensitive project information. You bring 2+ years of experience in a project coordinator or administrative role, ideally in construction or utilities. You're confident in applying administrative best practices to support project planning and coordination.
