Prepares and processes all outgoing mail, overnight mail (Federal Express), private delivery packages, contacts courier services, etc. Interact professionally, and in an articulate and poised fashion with internal and external customers and senior management. Opens, sorts and distributes incoming mail to appropriate parties and between lobbying and public relation team members including incoming mail, packages, messages, fax communications, etc. Maintain and update the company's database including a variety of invitation and company generated lists. Make on-site meeting arrangements including ordering lunch and setting up meetings. Monitor who is out of the facility on business or vacation to be able to communicate this with customers and other team members.
Office Management:
Coordinate the activities and schedule of the firm's owners while efficiently managing support services for all other members of the team. Coordinate and schedule travel arrangements and attendance at a variety of business and professional events. Provide coordination for a variety of projects including partner community activities. Coordinates receptions, events or other activities necessary to conduct the business of the company as directed. Provide general administrative and clerical support. Provide support to the Business Manager in a variety of administrative and bookkeeping activities and assists with projects as assigned. Maintain an inventory of office supplies, kitchen and bath supplies, and promotional items. Consult with the Business Manager in ordering needed supplies, and restocks supplies when arrives. Responsible for a clean, neat, clutter free, friendly office environment on a daily basis. Routinely inspects office equipment and reports any malfunctions to the Business Manager and schedules repairs and maintenance of such. Coordinates and schedules building maintenance and cleaning services around non-session, weekends, or off-hour times. Utilizes word processing and data base software to develop and create documents, ensures the distribution of important or time sensitive documents or packages and provides general administrative support requiring discretion and independent judgment for the senior partners. Establishes and maintains a readily accessible filing system for hard copy and electronic information, records and documents including
A/P & A/R
for all companies, time, and billing entries. Proactively communicates with all team members and offers assistance with any administrative tasks. Other administrative duties as assigned.
Qualifications:
3 + years previous experience in office administration required. Computer efficiency and Proficient with Microsoft Office Suite including Microsoft Outlook, Word, Excel and Access. Experience working in a collaborative environment with other administrators, support, and management personnel. Previous experience operating multi-line phone systems. Ability to prioritize and multitask. Excellent organizational skills with keen attention to detail. Excellent written and verbal communication skills. Strong attention to detail.
