This role is ideal for someone who thrives in a fast-paced, detail-driven environment and enjoys being a trusted right hand to leadership. The successful candidate will help keep projects, financial processes, internal communication, and operational workflows moving forward with accuracy, urgency, and professionalism. The Project & Business Operations Coordinator must be comfortable balancing competing priorities, anticipating needs before being asked, communicating clearly across all levels of the organization, and holding follow-through standards in a calm, service-oriented manner. Key Responsibilities Project Management Support Assist the Senior Project Manager with coordinating project timelines, deliverables, documentation, and follow-up items. Track project status, deadlines, open issues, change orders, vendor updates, and client-related action items. Help prepare and maintain project files, schedules, reports, meeting notes, and internal project documentation. Communicate with internal team members, vendors, subcontractors, and clients to gather updates and ensure accountability. Identify potential delays, missing information, or process gaps and proactively escalate concerns. Support project closeout activities, including documentation, billing coordination, punch list follow-up, and final file organization. Business Operations Support Assist with day-to-day business management tasks that support company operations and leadership decision-making. Help improve, document, and maintain internal processes, checklists, workflows, and standard operating procedures. Coordinate information between departments to ensure leadership has accurate, timely, and concise updates. Support internal communication by summarizing complex information clearly and identifying key next steps. Help maintain organization across shared files, project systems, accounting records, and operational tools. Assist with special projects, reporting, process improvements, and administrative initiatives as needed. Accounting & Controller Support Assist the Controller with accounting-related tasks, reporting, documentation, and follow-up. Support accounts payable, accounts receivable, invoicing, and vendor/client documentation as assigned. Help track financial details related to projects, including budgets, billing milestones, costs, change orders, and project closeout items. Review documents for accuracy, completeness, and consistency before submission or processing. Maintain confidentiality and accuracy when working with financial and company-sensitive information. Follow up with internal team members, clients, or vendors to obtain missing documentation or resolve discrepancies. Ability to learn company-specific project management, accounting, and documentation systems. Strong written communication skills, including the ability to create clear emails, summaries, notes, and follow-up documentation. Ability to manage confidential information with discretion.. Success in This Role Looks Like Project and accounting details are accurate, organized, and easy to access. Leadership receives timely updates without having to chase information. Open items are tracked and followed through to completion. Internal and external communication is clear, professional, and concise. Processes become more organized, consistent, and efficient over time. The Controller and Senior Project Manager are better supported, allowing them to focus on higher-level responsibilities.
