Job Description

  • Job Overview:
  • Family-owned turn-key construction company is seeking a bilingual (English | Spanish), Operations Coordinator to join our team.
The ideal candidate should be highly organized, detail oriented, and customer service driven to provide administrative support and oversee project coordination tasks to ensure the successful execution of various projects. The Operations Coordinator manages a WIP (Work-In-Process) of all open construction jobs from start to finish. This role supports business operations by overseeing a multitude of administrative tasks, including but not limited to managing all required project-related paperwork, monitoring budgets and expenditures, ensuring resource availability, ordering / tracking project materials, completing project billing and ensuring that project deadlines are met in a timely manner and within budget.
  • Essential Job Duties:
  • Oversee the day-to-day coordination and management of assigned client projects/jobs
  • Manage project-related paperwork, including scope of work, project plan, budget, schedule, change orders, billing, subcontractor payments, and issues and inventory logs
  • Maintain and update the WIP for all assigned departments and maintain project documentation, reports, and records
  • Monitor job progress and create/maintain project status reports, Communicate project updates to team members
  • Assist in the selection of new qualified independent contractors and with job assignment
  • Participate in meetings and facilitate communication between the owners, team members, subcontractors, and clients throughout the project life cycle
  • Track project costs and expenditures to ensure adherence to the project budget and implement cost-saving measures
  • Collaborate with clients on assigned projects; this is including, but not limited to, communicating project status, securing change orders, and coordinating project scheduling
  • Ensure projects are closed out and billed consistently and on-time
  • Resolve questions or issues pertaining to subcontractor billing
  • Complete tasks on the project plan, as required
  • Performs other duties, as assigned
  • Qualifications:
  • Fully Bilingual in both English and Spanish (Requirement is necessary for business operations

  • Excellent communication, time management, and organizational skills
  • Ability to multitask and prioritize work effectively
  • Ability to work well under pressure
  • Accuracy and attention to detail is a must
  • Proficiency in Microsoft Office applications including Excel, Word, PowerPoint, and Teams
  • Experience with QuickBooks Online is mandatory
  • Experience with Google Sheets is mandatory
  • High school diploma/GED required
  • Associates degree or higher in business management or related field is preferred
  • 3+ years or prior proven experience in a project or operations coordinator role
  • Experience in service industry highly preferred
  • Ability to adapt to changing environments and timelines
  • Ability to organize priorities based on deadlines
  • Must have a commitment to project excellence with a friendly and positive attitude
  • Ability to work independently and as part of a team, with minimal supervision
  • Excellent work ethic, integrity, and accountability
  • Comfort with multi-tasking, prioritizing, and working in a fast-paced environment while managing time effectively
