This position plays a vital role in assisting eligible veterans throughout the dental assistance process — coordinating with dental providers, collecting documentation, maintaining accurate records, and ensuring exceptional customer service. The ideal candidate brings both dental office experience and strong administrative skills, and thrives in a fast-paced environment managing multiple cases simultaneously. Essential Duties and Responsibilities Manage daily case queues in Salesforce, ensuring timely follow-up and accurate documentation on all open veteran cases. Review veteran applications and coordinate with dental providers to obtain required treatment documentation. Conduct follow-up calls with veterans and dental offices to track appointments, collect records, and move cases forward. Monitor outstanding documentation and escalate non-responsive providers or stalled cases as needed. Provide compassionate, professional support to veterans navigating dental emergencies and financial hardship. Collaborate with program leadership and the dental team to support overall program operations and continuous improvement. Required Qualifications Minimum 3 years of experience in the dental field. Strong knowledge of dental terminology, procedures, treatment planning, and dental insurance concepts. Experience working in a dental office, specialty practice, community health clinic, or similar. Strong computer proficiency — comfortable navigating multiple systems simultaneously. Proven ability to multitask and manage multiple cases and competing priorities in a busy environment. Excellent verbal and written communication skills. High attention to detail, strong organizational skills, and consistent follow-through. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Strong customer service skills and ability to work with diverse and vulnerable populations. Ability to maintain strict confidentiality and handle sensitive information professionally. Preferred Qualifications Dental Assistant or Dental Office Administration experience. Experience reviewing treatment plans and dental records. Familiarity with dental practice management software (Dentrix, Eaglesoft, Open Dental, etc.). Salesforce or CRM/case management software experience. Experience working with nonprofit organizations, veterans, or healthcare programs. Knowledge of HIPAA regulations and patient privacy requirements. Experience coordinating referrals and communicating with healthcare providers. Bilingual (English/Spanish) is a plus. Ideal Candidate You are a self-motivated dental professional who enjoys helping others and is passionate about serving veterans. You are comfortable speaking with dental providers, experienced reviewing treatment plans, capable of managing multiple open cases at once, and committed to accurate and timely documentation. You take ownership of your workload, follow up without being asked twice, and bring both the dental knowledge and the administrative discipline this role requires. About WVRF The Wounded Veterans Relief Fund is a Florida-based nonprofit organization dedicated to improving the lives of Florida veterans through emergency financial assistance and dental care programs. Through partnerships with dental providers across the state, we help veterans regain their oral health and quality of life.
