Objective Under the direction of the Project Manager, to assist in managing and directing project personnel to achieve agreed time, cost and quality and safety standards for assigned projects in a way that fosters repeat business with each client and builds/maintains positive relationships with contractors, consultants, and architects.

Skills and Attributes Project Coordination & Administration:
Support project setup activities and organizing initial project documentation. Including onboarding logistics for new project team members, access requests, workspace setup, and distribution lists. Manage and maintain project documentation, filing systems, and organization within Microsoft Teams, OneDrive, and project management tools. Audit project document organization and follow up with project teams to ensure compliance with established standards.
  • Support project closeout activities, including final documentation, lessons learned, closeout checklists, and coordination of IT archiving requirements.
Gather updates from project teams and prepare weekly progress reports, monthly client reports, dashboards, and status summaries. Maintain standard project templates, forms, checklists, and reporting tools to support consistency across the PMO. Support version control, document naming conventions, and distribution of project documentation. Track project milestones, deadlines, submittals, approvals, and deliverables; follow up with responsible parties on pending items. Track meeting action items, owners, due dates, and follow-ups to support accountability and timely completion. Coordinate cross-functional handoffs between estimating, design, procurement, fabrication, installation, and closeout teams where applicable. Draft routine correspondence, transmittals, and project notices for review by Project Managers or PMO leadership. Coordinate key client events, appreciation initiatives, and stakeholder engagement activities as needed. Manage executive team project site visits, including coordination with project teams and site contacts. Coordinate PMO and project meetings, including scheduling, room or virtual meeting setup, materials preparation, and documentation. Maintain a high level of professionalism, responsiveness, confidentiality, and service orientation in all stakeholder interactions.
REQUIRED
Bachelor's degree in Construction Management, Engineering or similar A working understanding of financial principles (i.e., forecasting CTC, EVM, etc.) Intermediate to advanced expertise with Microsoft Office and project management software A positive, proactive, and determined attitude Well organized and an ability to prioritize with good time management skills. Ability to manage sensitive and confidential information and to manage the risk aspects of contracts including the ability to protect the company's contractual position with appropriately written correspondences Possessing good written and oral communication skills Capability of gathering information to make informed, timely and smart decisions to the best benefit of the company. Ability to work autonomously and under pressure, with a sense of urgency, to meet deadlines.
PREFERRED
Project Management experience in one or more custom design/build industries including casinos, retail, theme parks, exhibitory and/or other immersive experience environments A working knowledge of the design and fabrication process common to this industry
Working Conditions:
While performing the duties of this job, the employee will be working in both office and construction site settings. Working Hours will be dependent to project needs and will typically involve a standard 40-hour week, Monday thru Friday. Circumstances may occur, which will require additional time or days within the work week.
Physical Requirements:
The physical demands described are representative of those that must be met to successfully perform the essential functions of this job Prolonged periods of sitting at a desk and working on a computer. Regularly sit, stand, or walk short distances for up to the entire duration of a shift/workday. Frequent walking on uneven surfaces, including ground in varying weather conditions. Able to wear personal protective equipment is required, including but not limited to steel toe shoes, gloves, safety glasses, hearing protection, hard hat, vest, etc.
