West Palm Beach, FL Job Details Full-time $50,000 - $80,000 a year 15 hours ago Qualifications Customer communication Google Docs Schedule management QuickBooks Construction administrative experience Office management Full Job Description We are a growing design and construction management company focused on high-end residential remodeling, condo renovations, kitchens, bathrooms, exterior work, and larger custom projects throughout Palm Beach County. We are looking for a reliable, organized, and proactive Office Admin / Project Coordinator to help manage the daily office flow, support project management, keep paperwork moving, and help us stay on top of billing, permits, schedules, and client communication. Responsibilities Answering and organizing emails, calls, and client/vendor communication Assisting with proposals, invoices, change orders, and project paperwork Following up on accounts receivable and past-due invoices Coordinating permits, inspections, COIs, licenses, and building paperwork Updating construction software, QuickBooks, and project folders Helping track schedules, selections, material orders, and project deadlines Coordinating with the project manager, field crews, subcontractors, and vendors Preparing closeout documents, warranty info, and final project packets Keeping office systems, files, checklists, and admin processes organized Assisting ownership with daily administrative tasks as needed Ideal Candidate Highly organized and detail-oriented Comfortable working in a fast-paced construction environment Able to follow up without being reminded Good with email, spreadsheets, documents, and basic software Professional with clients, vendors, and subcontractors Able to juggle multiple active projects at once Calm, reliable, and solutions-oriented Construction, remodeling, permitting, or project coordination experience is a strong plus Multilingual extremely beneficial, english and spanish Software Experience Preferred QuickBooks Builder Trend orother construction/project management software / Google Workspace / Gmail / Google Drive Microsoft Excel or Google Sheets PDF/document organization tools Schedule Full-time position, Monday through Friday. Compensation Pay based on experience. Construction office experience, permitting knowledge, bookkeeping support, or project coordination experience will be considered heavily.
