We are seeking a highly organized and detail-oriented Project Coordinator with experience supporting both commercial and residential construction projects from preconstruction through closeout. This role is ideal for someone who thrives in a fast-paced environment, understands construction operations, and has strong experience with AIA billing (G702/G703), document control, subcontract coordination, and project administration. The ideal candidate will be proactive, organized, and capable of supporting multiple active projects while working closely with Project Managers, Superintendents, subcontractors, and vendors. Key Responsibilities Project Coordination & Document Control Support Project Managers and Superintendents throughout all phases of construction projects from startup through closeout. Manage and maintain project documentation including drawings, specifications, permits, ASIs, submittals, RFIs, change orders, and closeout documents. Track drawing revisions and maintain current document logs to ensure field teams are working from the latest plans. Organize and archive project files in accordance with company procedures. Subcontractor & Vendor Coordination Assist with preparation and tracking of subcontracts, purchase orders, vendor agreements, and subcontractor correspondence. Coordinate warranties, compliance documents, and required project documentation from subcontractors and vendors. Support communication between project teams, vendors, architects, and field personnel. RFIs, Submittals & Meeting Coordination Coordinate and track the full submittal and shop drawing process to ensure timely review and approvals. Assist with drafting and managing RFIs alongside Project Managers and field teams. Maintain accurate RFI logs, submittal logs, and project tracking reports. Prepare and distribute meeting agendas and meeting minutes for project coordination meetings. Billing & Administrative Support Assist with monthly AIA billing preparation (G702/G703 required) and payment applications. Support billing reconciliation, job cost tracking, and month-end project accounting activities. Perform billing versus job cost analysis in coordination with accounting and project management teams. Provide additional administrative support to ensure project timelines and workflows remain on track. Qualifications Experience supporting both commercial and residential construction projects is required. Strong knowledge of construction operations, project coordination, and document control processes. AIA billing experience is required, including
G702/G703
knowledge. Understanding of job costing, project accounting, and billing reconciliation.
Proficiency with:
Procore Sage 300 Microsoft Office Suite Excel DocuSign Strong communication skills with the ability to work effectively with field teams, subcontractors, vendors, and clients. Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously. Ability to thrive in a fast-paced construction environment. Preferred Background Experience working on high-end residential and/or ground-up commercial projects preferred. Experience supporting multiple active projects simultaneously is highly desired.
