Role:
We're looking for an organized and proactive Design Services Coordinator to support our Design team. Reporting to the Director, Design this role will be the operational backbone of a high-volume, multi-channel design function, responsible for keeping our seasonal projects on schedule, partner programs coordinated, and files moving cleanly from design through production. This position is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and takes pride in the details that keep design operations running smoothly. We are open to candidates located in or near our design offices in either Orlando, Florida or New York, New York as this team member will be expected to be onsite at least three days a week. Additional in-office days may be required from time to time to support project needs, team collaboration, and key business priorities. The anticipated base range for this role is $70,000 to $80,000 annually. Final compensation will be determined based on several factors, including relevant experience, qualifications, and work location.
What You Will Do:
Project & Workflow Coordination Build and maintain project plans, timelines, calendars, and status trackers across seasonal design programs and creative initiatives. Coordinate creative intake requests and help ensure projects are properly scoped, prioritized, and aligned with business needs before execution. Track milestones, dependencies, and delivery dates across multiple workstreams to help ensure deadlines are met. Maintain accurate and up-to-date information within the team's project management system. Team Operations & Communication Partner closely with design leadership to support project prioritization, workflow sequencing, and workload balancing across the team. Serve as a key point of contact between the design team and cross-functional partners including sourcing, planning, merchandising, production, and marketing. Coordinate scheduling, meeting follow-ups, approvals, and communication related to internal and external partner programs. Attend meetings, capture notes, and track action items through completion. Reporting & Process Support Monitor active projects and provide regular updates on project status, workload, risks, and team capacity. Help identify resource constraints and escalate timeline or workload concerns as needed. Support process improvement initiatives by identifying opportunities to streamline workflows and improve team efficiency. Assist in developing reporting tools and operational processes that improve visibility and organization across the creative team.
What We Are Looking For:
Bachelor's degree in Design Management, Business, Marketing, Communications, or a related field preferred. 2+ years of experience in creative project management, creative operations, design services or other related role within a creative, retail, or consumer product environment. Experience using project management platforms such as Asana, Monday.com, Wrike, Smartsheet, or similar tools. Proficiency in Microsoft Office and Google Workspace applications. Exceptional organizational and time management skills, with strong attention to detail. Proven ability to prioritize and operate effectively and autonomously in a fast-paced, deadline-driven environment. Strong judgment and discretion, with the ability to handle confidential information. Strong written and verbal communication skills, with the ability to communicate clearly and effectively. A proactive, solutions-oriented mindset with the ability to anticipate needs.
