Title Equipment Coordinator Department(s) Equipment Reports to Equipment Coordinator Supervisor Job Summary:
The Equipment Coordinator is responsible for coordinating the ordering, delivery, installation, maintenance, and service of dental equipment for customers. This role serves as a liaison between the equipment specialist, sales representatives, customers, manufacturers, service technicians, and internal departments to ensure equipment projects are completed accurately, efficiently, and on schedule. Duties & Responsibilities:
Equipment Sales Support Coordinate equipment order from receipt through final installation Review equipment quotes and orders for accuracy and completeness Work closely with equipment specialists to ensure customer requirements are met Maintain accurate records of equipment sales, deliveries, installations and warranties Project Coordination Schedule equipment deliveries, installations, and service appointments. Communicate project timelines and updates to customers, sales staff, and technicians. Coordinate with manufacturers, vendors, contractors, and installers regarding equipment availability and project requirements. Monitor project progress and proactively address delays or issues. Customer Relations Serve as the primary point of contact regarding equipment orders and installations. Respond to inquiries regarding equipment status, warranties, service requests, and installation schedules in a timely manner. Vendor & Inventory Management Track equipment orders and shipment status with manufacturers and suppliers. Verify receipt of equipment and reconcile packing slips, invoices, and purchase orders. Coordinate returns, replacements, warranty claims, and damaged goods with vendors. Maintain records of equipment inventory and warehouse stock as assigned. Administrative Functions Maintain accurate project files and documentation. Process purchase orders, invoices, and equipment-related paperwork. Generate reports regarding equipment sales, project status, and service activities. Ensure compliance with company policies and procedures. Job Requirements:
Strong verbal and written communication skills. Ability to identify and resolve problems in a timely manner. Coordinate and manage projects in a timely manner Pursuing training to continuously build knowledge and skills Manage difficult/emotional customer situations by focusing on solving the conflict. Ability to work as a team Proficiency in Microsoft Office Suite & SAP Ability to work independently and collaboratively within a team environment Knowledge of dental equipment and operatory design is a plus Must possess basic math and computer skills Microsoft Word/Excel experience strongly preferred Must pass drug and background tests Compensation & Benefits once perm: Excellent pay (based on experience) Medical, Dental & Vision insurance options 7 Paid Holidays PTO Days 401K match $.50 on the $1.00 up to 5% Pay:
