Job Description

The University of Iowa Health Care department of Safety and Security is seeking a Access Control Coordinator to provide administrative, fiscal, and operational coordination for the access control and security technology program across the UI Health Care Network. This role serves as a central coordinator for access control operations, project tracking, compliance support, reporting, and staff coordination. The position requires independent judgment, strong organizational skills, and the ability to partner with leadership, technical teams, and internal stakeholders to ensure secure, efficient, and compliant access systems. Position Responsibilities
  • Coordinate day-to-day administrative operations for the access control and security technology program.
  • Serve as a primary administrative point of contact for access control requests, documentation, and process flow.
  • Assist in maintaining and updating established administrative workflows, standard operating procedures, and tracking tools related to Access Control operations.
  • Support recordkeeping and documentation related to access permissions, keys, doors, and security hardware in accordance with Access Control Supervisor direction.
  • Assist with internal and external communications related to access control operations by preparing drafts, tracking requests, and routing information as appropriate.
  • Coordinate and track short- and long-term access control projects (e.g., door installations, badge access changes, system updates) in partnership with the Access Control Supervisor and technical teams.
  • Monitor project timelines, deliverables, and task lists; follow up with stakeholders to ensure assigned tasks are completed.
  • Coordinate documentation, testing schedules, and turnover records for doors, cameras, and access hardware; does not perform hands-on system programming or troubleshooting.
  • Support compliance with institutional safety, security, purchasing, and regulatory documentation requirements specific to Access Control operations
  • Collect, analyze, and report data related to access control usage, requests, and system activity.
  • Prepare dashboards, reports, and summary documents using tools such as Tableau and Microsoft Excel.
  • Provide summary data and reports to leadership to support planning and decision making
  • Provide functional guidance and task coordination for student employees or temporary support staff assigned to Access Control operations, as directed by the Access Control Supervisor.
  • Support onboarding and training coordination by preparing materials, tracking completion, and reinforcing established Access Control procedures.
  • Serve as an administrative resource for Access Control staff related to documentation, workflows, and reporting requirements; does not perform performance evaluations or direct personnel supervision.
  • Support the Director and Manager with strategic planning, documentation, and implementation of departmental initiatives.
  • Coordinate activities across departments, clinical areas, and external partners to support access control goals.
  • Recommend process improvements that enhance security, efficiency, and customer service.

  • A bachelor's degree or an equivalent combination of education and experience is required.
  • 2-4 years of progressive administrative, program coordination, or operational experience.
  • Exposure to and understanding of budgets, fiscal tracking, and financial reporting processes. Experience coordinating projects or programs requiring independent judgment and prioritization.
  • Strong written and verbal communication skills; ability to interact professionally with a variety of stakeholders.
  • Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and reporting tools. Desired Qualifications
  • Experience using University of Iowa Access Control systems is desirable.
  • Familiarity with University of Iowa or UI Health Care policies, systems, and administrative processes.
  • Experience working within teams that require functional leadership or staff oversight.
  • Experience with data visualization tools (e.
g., Tableau) or system reporting
