PROJECT COORDINATOR - F.F.E.
(Furniture, Fixtures & Equipment) RESPONSIBILITIES
Assist Project Managers with the coordination and execution of F.F.E. projects from planning through installation and project closeout Support project quoting, budgeting, scheduling, procurement, and order tracking to ensure alignment with project objectives and deadlines Coordinate with vendors, manufacturers, installers, warehouses, and internal teams to support successful project delivery Identify scope discrepancies, scheduling conflicts, or product issues and communicate with the appropriate teams for resolution Maintain accurate project documentation including purchase orders, tracking logs, submittals, installation schedules, and customer communications Assist with the procurement and order placement of furniture, fixtures, and equipment for commercial, retail, or multi-site projects Monitor order status, lead times, shipping schedules, and delivery timelines to proactively address project impacts Support logistics coordination including warehousing, inventory management, delivery scheduling, and installation activities Maintain and understand customer specifications, product selections, finishes, and manufacturer offerings to address project questions and support client needs Collaborate with Project Managers and team members to ensure timely resolution of project issues and successful project execution Identify opportunities for process improvement and communicate recommendations through proper channels Stay current on product knowledge, project processes, and industry best practices through ongoing training and development Utilize internal systems, spreadsheets, and project management software for reporting and project coordination Contribute to a positive company and team culture and perform additional duties as assigned COMMUNICATION
Review and analyze project documents, specifications, floor plans, schedules, and site information to support accurate project coordination and quoting Provide clear, professional, and concise written and verbal communication Deliver excellent customer service by actively listening, understanding client needs, and supporting effective project solutions Communicate effectively with clients, vendors, contractors, installers, and internal teams regarding project updates and scheduling Respond professionally to sensitive inquiries, schedule changes, and project concerns Escalate project risks, delays, or unresolved issues appropriately and in a timely manner CRITICAL THINKING
Demonstrate the ability and willingness to solve problems while maintaining strong customer and vendor relationships Identify and address project coordination challenges, scheduling conflicts, and logistical issues in a fast-paced environment Analyze project requirements and support effective execution across multiple concurrent projects Solve practical problems and adapt to changing priorities where limited standardization may exist Interpret instructions furnished in written, oral, diagram, specification, or schedule form QUALIFICATIONS 1-3
years of experience working in a business, construction, interiors, retail, or F.F.E.-related environment General business background with working knowledge of project management principles, practices, and coordination techniques Strong organizational, analytical, and problem-solving skills Excellent communication and time management skills with the ability to manage multiple priorities in a fast-paced environment Experience in customer service, construction, interiors, fixtures, furniture procurement, logistics, or branding is a plus Proficiency in Microsoft Office Suite and project tracking software preferred Must be proficient in Microsoft Projects EDUCATION
BS or BA Degree, or equivalent combination of education and experience Additional coursework or certifications related to project management, interiors, construction, or procurement are a plus PAY RANGE
