With over 60 years of experience, AMS has grown from a small refrigeration contractor into a multi-discipline, multi-market MEP contractor with more than 1,000 employees. We are committed to delivering exceptional service to our clients, investing in the development of our people, and strengthening the communities we serve. Located in our Woodridge, IL facility and reporting to the Operations Manager of the Client Services Group, the Project Coordinator will support service team operations by managing client documentation, coordinating internal processes, and assisting with project execution. This role requires strong organizational skills, attention to detail, and the ability to collaborate across multiple departments to ensure successful service delivery.
Responsibilities:
Develop small project/repair job cost proposals for HVAC/R, Industrial Refrigeration, and Mission Critical, logging proposals in CRM where applicable. Follow up with clients on proposals and assist Client Managers with CRM win/loss status management. Assist CSG Operations leadership with oversight of house accounts. Set up new jobs for Client Managers, ensuring all job information is accurately entered. Submit required subcontract requests to accounting and schedule subcontractors as needed. Enter change orders when necessary and update job cost projections. Process job payment requests through accounting. Monitor bonding reports to ensure timely billing, capture of change orders, and proper cost vs. revenue alignment. Clean up open commitments and make jobs inactive upon completion. Attend PM meetings as required. Work with Client Managers and Technicians to process required project paperwork. Interact with Service Coordinators to assist Client Managers with scheduling needs. Coordinate with Procurement to order and track equipment/materials. Partner with Compliance Coordinator to ensure reporting follow-up and accurate delivery to clients. Compile and distribute PMA information to Field Technicians. Create, update, and manage PMA and other site-specific binders for technicians. Assist with PMA creation, recap, and ongoing management. Provide periodic backup for Service, Procurement, and Compliance Coordinators.
Qualifications:
High school diploma or equivalent; associate's degree or relevant certification is a plus. Proven experience in an administrative role, preferably in a construction or industrial environment. Intermediate to advanced skills in Microsoft Word, Excel, PowerPoint, and Outlook is required for this position. Must be mature, professional, personable, and have a polished delivery on all assignments. Ability to handle confidential information with the utmost discretion. Must be able to communicate, both written and oral, in a professional manner and represent the company in a professional manner. Must possess good follow-through skills to finalize projects.
Compensation:
