Job Description
Nautical Manufacturing & Fulfillment is committed to delivering high-quality fulfillment, warehousing, and project management solutions to clients across a variety of industries. The Project Manager plays a critical role in overseeing client projects from onboarding through fulfillment completion while ensuring operational accuracy, timely execution, strong communication, and exceptional customer service. This position is responsible for coordinating communication between clients, sales teams, procurement, and warehouse operations to ensure projects are completed efficiently and accurately. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining professionalism and accountability.
Essential Responsibilities:
Project & Fulfillment Management:
Manage projects from initial setup through final completion while ensuring deadlines and client expectations are met. Review and respond to emails from account coordinators, sales teams, clients, and warehouse teams promptly and professionally. Verify receiving logs, create SKUs for inbound inventory, and monitor inventory levels for specialty and project-related items. Notify warehouse and sales teams of missing information, inventory shortages, or project concerns proactively. Create, finalize, and distribute fulfillment sheets, shipping files, project instructions, and inventory documentation accurately and on time. Review QC photos, provide project approvals, and address any discrepancies or concerns prior to shipment. Upload inventory usage and project completion data into the warehouse management system accurately and promptly upon completion. Coordinate shipping, receiving, dispatching, and fulfillment activities to support efficient warehouse operations. Send item lists and quantities to procurement teams for purchase order creation as needed. Conduct meetings with warehouse leadership and internal departments to review project timelines, approvals, and operational needs.Customer Service & Communication:
Provide proactive customer service by identifying and addressing potential issues before they impact client experience. Maintain professional, respectful, and solution-oriented communication with clients and internal teams at all times. Meet communication KPI expectations, including responding to or acknowledging emails within 2 hours during core operating hours of 7:00 AM - 3:30 PM whenever possible. Escalate urgent operational or customer concerns to leadership promptly when necessary. Ensure all communication regarding project updates, approvals, delays, or concerns is documented and communicated clearly.Accountability & Performance Expectations:
Maintain ownership and accountability for assigned projects, inventory accuracy, timelines, and customer communication. Demonstrate initiative and willingness to go above and beyond standard responsibilities to support operational success. Follow through on assigned tasks completely and communicate delays or obstacles proactively. Maintain professionalism, reliability, urgency, and accuracy in all aspects of the role.Team Collaboration & Coverage Expectations:
Collaborate closely with warehouse, procurement, sales, and administrative teams to ensure operational efficiency and project success. Standard communication coverage is expected between 7:00 AM - 4:00 PM to support clients and internal departments. Employees are expected to be present in-office between 9:00 AM - 2:00 PM unless otherwise approved by management. Assist with departmental coverage during absences, PTO, or high-volume operational periods. Maintain organized project documentation and cross-training support to ensure workflow continuity during employee absences.Financial & Operational Support:
Review project profitability and assist with analyzing profit and loss data. Identify opportunities for operational improvements and cost-saving initiatives. Provide quotes for out-of-scope work and additional project requests. Support warehouse process improvements utilizing warehouse management systems and operational best practices.Minimum Requirements:
Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or related field preferred. Previous experience in project management, fulfillment, warehousing, logistics, or supply chain operations preferred. Strong understanding of warehouse management systems, inventory processes, and fulfillment operations. Proficiency in Microsoft 365 including Outlook, Excel, and Word. Strong organizational, analytical, and critical thinking skills. Excellent verbal and written communication skills. Ability to multitask and prioritize effectively in a fast-paced environment. Strong attention to detail and problem-solving abilities. Ability to maintain professionalism and urgency under pressure.Working Conditions:
This position operates primarily in an office and warehouse environment with frequent communication between operational departments. Standard work hours are generally Monday through Friday; however, schedule flexibility may be required based on operational demands, customer needs, or project deadlines. This is a salaried position and may require additional hours outside standard scheduling during high-volume periods or urgent operational situations.Suggested Knowledge, Skills and Abilities:
Experience in fulfillment, warehousing, logistics, or manufacturing environments. Experience working with warehouse management systems (WMS) and inventory tracking systems. Strong customer service and relationship management skills. Ability to work independently while managing multiple projects simultaneously. Strong sense of accountability, urgency, and ownership. Ability to proactively identify and solve operational challenges. Strong collaboration and team-oriented mindset.Pay:
