Full-time, on-site / field Position Summary We're a remodeling company looking for an Assistant Project Manager (APM) who can keep multiple active jobs moving in a fast-paced environment. This role is the coordination hub between project managers, field crews, subcontractors, vendors, and clients. You'll own the day-to-day logistics that keep projects on schedule and on budget: communication, subcontract coordination, contract administration, and material procurement (windows, doors, trim, and specialty items with long lead times). The right person is organized, proactive, and comfortable juggling competing priorities without dropping details. Key Responsibilities Communication & Coordination Serve as the central point of contact between project managers, field crews, subcontractors, suppliers, and clients. Relay schedule changes, scope updates, and field issues quickly and accurately to the right people. Keep clients informed on milestones, deliveries, and next steps in coordination with the PM. Document and distribute meeting notes, daily updates, and project communications. Anticipate bottlenecks and flag them before they become delays. Subcontractor Management build relationships , new subs so to better are sub pool . Schedule subcontractors and coordinate sequencing with the project schedule. Verify subcontractor scope, pricing, and exclusions against the contract and estimate. Collect and maintain current certificates of insurance (COIs), W-9s, and lien waivers. Confirm sub readiness ahead of mobilization and follow up on punch list items. Contract Administration Assist in preparing, reviewing, and tracking prime contracts and change orders. Maintain accurate, organized project documentation and records. Track contract milestones, billing triggers, and required submittals. Process and log change orders, ensuring scope and cost changes are documented and approved. Material Procurement Order and track materials including windows, doors, trim, millwork, and specialty/long-lead items. Manage lead times proactively to align deliveries with the build schedule. Verify quantities, specifications, and pricing against estimates and selections. Coordinate deliveries, staging, and storage with the field team. Resolve backorders, damaged shipments, and substitutions; reconcile invoices against POs. Maintain procurement logs and lead-time tracking across active jobs. Schedule & Project Support Maintain and update project schedules in coordination with the PM. Track tasks, deadlines, and dependencies across multiple concurrent projects. Support job cost tracking, budget monitoring, and PM reporting as needed. Assist with permits, inspections scheduling, and closeout documentation. Qualifications Required 2+ years in construction project coordination, procurement, or a related role (residential/commercial remodeling preferred). Strong understanding of construction sequencing, materials, and the trades. Familiarity with windows, doors, trim, and specialty product lead times. Excellent communication and follow-through; comfortable holding subs and vendors accountable. Highly organized, detail-oriented, and able to manage competing priorities under pressure. Proficient with email, scheduling tools, and spreadsheets; comfortable learning project/job-cost software. Valid driver's license and reliable transportation for site visits. Preferred Hands-on field or trades background. Experience reading plans, specs, and estimates. Experience with construction management or job-cost software (e.g., Sage, Monday.com). Familiarity with COIs, lien waivers, and subcontract compliance. Above tasks are completed in a team setting.
