Position Title:
Capital Markets Project Coordinator
GENERAL SUMMARY
The Project Coordinator is a highly organized, detail-oriented professional who reports directly to the Co-President and serves as the operational engine of the Finance and Capital Markets team. This role drives organization, accountability, and execution across the team's key initiatives while ensuring that projects stay on track, priorities remain visible, and deliverables are completed with accuracy. The ideal candidate is a proactive self-starter who thrives in a fast-paced, high-stakes environment, brings strong communication and analytical skills, and can confidently navigate the complexity of finance and capital markets work while maintaining order and forward momentum.
POSITION OVERVIEW
This position combines administrative responsibilities with team coordination and financial/capital markets operations. The Project Coordinator manages workflows , maintains team accountability, and ensures that strategic priorities are translated into actionable plans and measurable results. This is a high-visibility role requiring strong judgment, discretion, and the ability to manage competing priorities with professionalism and composure.
KEY RESPONSIBILITIES
Provide comprehensive administrative support, including proactive calendar management, expense tracking, and executing logistics for meetings and team events. Assist in scheduling meetings, preparing agendas, and distributing pre-read materials in advance Serve as a central point of coordination between team members, ensuring alignment and efficient communication Track project timelines, milestones, and deadlines to ensure timely and accurate execution Provide real-time visibility into status and priorities Identify potential roadblocks and proactively identify issues to leadership with recommended solutions Coordinate workflows across team members, ensuring clear ownership and follow-through on outstanding items Prepare, format, and manage presentations, reports, pitch materials, and client-facing documents to a high standard Assist with the compilation and formatting of financial data, market analyses, and deal-related materials Provide regular project status updates to the team and leadership, flagging risks and upcoming deadlines Required Knowledge/Skills/Competencies Bachelor's degree in Finance, Business, Economics, or a related field preferred 1-3 years of experience in project coordination, operations, or administrative support within financial services, investment banking, or capital markets Excellent administrative and organizational skills with the ability to manage multiple high-priority projects simultaneously Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) Excellent written and verbal communication skills, including the ability to draft polished executive-level materials High degree of accuracy and attention to detail, particularly in financial and data-driven deliverables Proven ability to work independently, exercise sound judgment, and thrive in a fast-paced, deadline-driven environment Discrete and professional when handling confidential financial and business information
WORKING CONDITIONS/PHYSICAL DEMANDS
Fast paced environment requiring high level attention to detail and accuracy Normal office business environment. Close work (paperwork, visual examination). Occasionally walking up and down stairs, standing, and bending. Ability to sit at a computer for long periods.
