Job Description

The Project Coordinator supports the rhythm of work that drives program quality, evaluation, and the continuous improvement of service delivery at Literations. The role spans project coordination, logistics, and program operations, and requires someone skilled across all three. Reporting both to the Director of Programs and the Director of Strategy, this position partners across teams to coordinate recurring projects, provide targeted programmatic and training support, and support data collection and evaluation. Literations is in an exciting time of growth and the Project Coordinator will play a vital role in preparing the organization for its next growth and expansion phase. One of this position's first goals will be to spearhead development and implementation of a supply chain process to ensure efficient and reliable materials distribution across Literations' growing network of program sites. This role is well-suited for a curious, organized, and highly adaptable individual who is energized by working on a varied portfolio of initiatives that keep the organization running and improving. The ideal candidate brings a deep commitment to the students Literations serves and to ensuring every child has the support they need to become a confident reader. This is a full-time, non-exempt, salaried position based in the Boston area. The Project Coordinator should anticipate the ability to work from Literations' central office on a regular basis (at least 1x/week), with the need to adjust schedule and priorities in response to organizational needs, seasonal program demands, and emerging initiatives. In-person time includes interdepartmental collaboration, occasional site visits, and attendance at organization-wide events throughout the year and attendance at in-person office days and staff meetings in Boston. The specific project portfolio for this role is set annually in partnership with the Director of Programs and the Director of Strategy and evolves with organizational priorities. Core Responsibilities Cross-Functional Project Coordination Serve as project coordinator for recurring and emerging initiatives that cut across the Program, Training, Strategy, and Evaluation functions Build and maintain project plans, timelines, and tracking tools; coordinate calendars, meetings, agendas, and follow-ups to keep work moving forward Synthesize information across teams and prepare clear, audience-appropriate materials for internal and external stakeholders Proactively identify barriers, surface decisions that need to be made, and support driving projects to completion Programmatic & Training Support Partner with the Program and Training teams to support program start-up, close-out, and ongoing operations, as well as volunteer pre-service and in-service training Coordinate logistics for volunteer training and program-led events (such as Leadership Fridays, Summer Town Hall, and Corporate Volunteer Days), including materials prep, scheduling, communications, day-of support, and any after-action follow up Support the development, production, maintenance, and annual review of program and training materials, including agendas, handouts, forms, tools, and other programmatic and training resources Coordinate program logistics across sites, including materials inventory, ordering, replenishment, and delivery Evaluation & Data Collection Support Support the administration of recurring evaluation cycles, including surveys and check-ins for students, volunteer coaches, site team leads, and partners Coordinate data collection logistics (in partnership with the Program team), ensuring timely and complete capture across sites Assist with data input, cleaning, organization, and quality assurance to support reliable reporting and analysis Help prepare recurring reports, dashboards, and summaries that translate evaluation findings into accessible information for internal teams, leadership, funders, and partners Qualifications There are innumerable ways to learn, grow, and excel professionally. Required Minimum 2 years of professional experience in a role requiring project coordination, logistics, data management, or program support - ideally in a nonprofit, education, public sector, or consulting setting Exceptional project coordination skills, with demonstrated ability to manage multiple workstreams, meet deadlines, and move work forward independently Excellent written and verbal communication skills, including the ability to synthesize information and tailor messaging to different audiences Strong organizational skills and high attention to detail, with a proactive, solutions-oriented mindset Comfort working with both qualitative and quantitative data
Technical Proficiency:
Zoom, Google Suite and solid spreadsheet skills (Google Sheets and/or Excel), and data management systems Comfort learning new tools and platforms Demonstrated ability to work collaboratively across teams and with a wide range of stakeholders, including senior leadership, program staff, and external partners
Physical Requirement:
Able to lift 25 lbs to assist with site setup, maintenance, and transport materials across various program sites Current, valid driver's license and reliable access to a vehicle (required for regular site travel) Preferred Experience in early literacy, K-12 education, or youth-serving organizations Familiarity with program evaluation, survey administration, or data tools Advanced spreadsheet skills, including data manipulation, modeling, and visualization Experience supporting strategic planning, organizational change, or expansion work Experience working in a multi-site or growing organization
