Based on Experience About the Role Designs Teams, Inc/McCrone Engineering is a leading civil & electrical engineering firm seeking a detail-oriented professional to serve as a vital link between our engineering teams, clients, and back-office operations. This role is unique—you will handle front-desk reception and daily mail distribution while also managing project-based billing, receivables and posting client receipts. Key Responsibilities
    Engineering Billing & Collections:
    Work In Progress (WIP) by preparing and issuing accurate client invoices. Help Project Managers prepare specialized engineering paperwork like RFI's, submittals, and change orders. Resolve billing holds in collaboration with PMs and handle professional collection calls for outstanding balances.
      Official Notary Services:
      Act as the offices Notary Public to authenticate signatures on vital documents
        Front Office Management:
        Answer multi-line phones with professional etiquette, screen inquiries for engineers and surveyors. Manage the daily intake and distribution of mail and packages. Order office supplies, coordinate office outings.
        Requirements Notary Public Commission:
        or eligibility and willingness to obtain one immediately.
        Administrative Experience:
        At least [5] years in an administrative role, preferably within an engineering or professional services environment.
        Project Based Skills:
        Proven experience with project-based knowledge, accounts receivable, or collections.
        Software Proficiency:
        Skilled in MS Office (Excel, Word); experience with industry software like Deltek Ajera is a major plus.
        Detail-Oriented:
        Exceptional ability to manage multiple project timelines simultaneously without losing track of administrative essentials. Benefits

        Notary Reimbursement Cost Pay:
        $23.00 - $28.00 per hour
