Job Duties:
Ordering materials and products for upcoming jobs, ensuring timely delivery and cost efficiency. Track deliveries, manage inventory levels in the system and coordinate with field teams Create new jobs and estimates in the company's landscaping-integrated software i.e. LMN Promote jobs from estimates to scheduled status, coordinating with crews Schedule sold work and coordinate job timelines with clients, providing clear communication and updates throughout the process. Maintain accurate project records, timelines, and documentation throughout the project lifecycle. Respond promptly to customer inquiries, schedule site visits, and address concerns professionally. Track project progress and proactively communicate updates to customers and internal teams. Manage commercial installation coordination, including submittal paperwork, approvals, and compliance documentation. Audit daily timesheets submitted by foremen for accuracy, completeness, and compliance with company policies. Handle management paperwork and LMN (or equivalent landscaping software) data workflows, ensuring all records are up-to-date and organized. Collaborate with the Operations Manager to resolve scheduling conflicts, material shortages, or client concerns. Perform additional administrative duties like generating reports on project status, labor actual vs. bid hours, and material usage Maintain organized digital and physical project files
Requirements:
2+ years of experience in operations support or project coordination (landscaping, construction, or related industry preferred). Strong organizational and multitasking skills with the ability to manage multiple priorities. Excellent verbal and written communication skills for client and team interactions. Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with LMN or similar landscaping/ERP software is a strong plus. Familiarity with inventory management, timesheet auditing, and basic estimating processes. High attention to detail and accuracy, especially with paperwork and data entry. Ability to work independently while supporting a collaborative team environment. Valid driver's license a must
Preferred Qualifications:
Read, Write, and Speak Spanish a plus Knowledge of plants, hardscaping materials, and landscaping terminology Navigation and know-how with Landscape Management Network (LMN) software
