- Full-time Adventure Advertising is looking for a highly organized Project & Client Coordinator to help manage customer communication, project intake, and sales support across our apparel, printing, signage, and vehicle graphics departments.
This role is ideal for someone who enjoys helping customers, keeping projects organized, and ensuring nothing falls through the cracks. You will work closely with our sales team, project managers, designers, and production staff to keep customer projects moving smoothly from inquiry to completion. Responsibilities Customer Communication Answer incoming phone calls and direct inquiries appropriately Monitor shared email inboxes Respond to customer questions and requests Follow up on approvals, deposits, artwork, and project details Notify customers when projects are complete Project Intake & Coordination Create and maintain project records in Trello Gather necessary information from customers Route projects to the appropriate department Assist with scheduling installs, appointments, and project timelines Keep project information accurate and up to date Sales Support Assist with estimates and quote preparation Request vendor pricing and information Coordinate mockups and proof requests Support the sales team with administrative tasks Help ensure customer inquiries receive timely responses Administrative Support Maintain customer records and project notes Assist with invoicing and deposit collection Track open projects and outstanding action items Help improve internal processes and workflows Qualifications Exceptional organizational skills Strong written and verbal communication Ability to manage multiple projects simultaneously Comfortable learning new software and systems Detail-oriented and proactive Positive attitude and willingness to help wherever needed Preferred Experience Customer service Project coordination Administrative support Sales support Printing, signage, apparel, marketing, or creative industry experience is a plus What Success Looks Like No customer inquiry falls through the cracks Shared inboxes and phone messages are consistently managed Sales staff spend more time selling and less time on administrative work Projects move smoothly through the organization Customers receive timely communication and updates This is a full time position.
