Project Coordinator TGW Systems Inc - 3.6 Grand Rapids, MI Job Details Full-time 1 hour ago Qualifications Administrative experience Full Job Description The Project Coordinator provides administrative and operational support to the Project Managers in a complex project environment. This role focuses heavily on reporting, tracking, and procurement coordination, and partners closely with cross-functional teams to support timely and successful delivery of simultaneous multiple projects.
DUTIES AND RESPONSIBILITIES
Set up and maintain projects in business systems and tools including project structures and task tracking. Create, organize, and manage centralized project documentation to ensure accuracy, accessibility, and version control. Administer stage gate processes, including preparing, tracking, and maintaining required documentation and approvals. Prepare and distribute project reports, dashboards, and trackers to support project visibility and decision-making. Support project financial tracking, including budgets, forecasts, actuals, and reconciliation. Manage procurement processes, including raising and tracking Purchase Orders through site delivery. Monitor and report on project risks, issues, opportunities, and action items, ensuring timely follow-up and resolution. Coordinate project communications and meetings, including agendas, minutes, action tracking, and stakeholder updates. Support project governance, systems usage, audits, and continuous improvement of processes, tools, and reporting capabilities. Support the review and approval of accounts payable and receivable. Perform additional duties as required.
Education:
Associate or Bachelor's degree in Business Administration or related field, or equivalent experience.
Experience:
At least two (2) years of technical administration experience, preferably in materialhandling industry.
Travel:
Up to 25% of travel as required Skills & Abilities Demonstrated proficiency in MS Office Suite (Word, Excel, PowerPoint, Teams and Outlook) and other relevant tools. Strong interpersonal skills and the ability to influence and manage a range of relationships in a complex environment. Excellent organizational skills and demonstrated ability to manage multiple tasks or projects simultaneously and with a high degree of accuracy. Knowledge of project management terminology, tools and reports. History of working with software applications like JIRA, Navision, SAP on high complexity, high value projects. Data analysis skills and experience with data reporting, i.e. use of software such as Datarails, Splunk, Power BI or SQL preferred. Physical Requirements Ability to remain stationary at a desk for prolonged periods of time. Ability to go to site frequently and move safely around industrial and/or warehouse environment. Ability to lift and carry supplies up to 25 pounds at a time. Ability to operate computers, tablets, phones, and other electronic devices. Ability to communicate with others verbally and in writing, on a frequent basis. Ability to tolerate exposure to job site temperature fluctuations due to seasonal weather in geographic region.
