UPI maintains a corporate headquarters in Troy, Michigan and a primary fabrication facility in Georgetown, Kentucky. With additional fabrication in Detroit, MI.
Job Summary:
A Project Coordinator is responsible for supporting the planning, execution, and completion of projects by providing administrative and logistical assistance to the project management team. This role involves coordinating resources, managing project documentation, scheduling meetings, and ensuring that all tasks are completed on time and within budget. The Project Coordinator ensures smooth communication between project stakeholders and team members, helping to keep projects on track and organized.
Supervisory Responsibilities:
None. Essential Duties/Responsibilities include some or all of the following: Assist project managers with the planning, scheduling, and execution of projects, ensuring that all tasks are completed according to the project plan. Coordinate project resources, including personnel, equipment, and materials, ensuring timely availability and allocation. Track project progress and monitor deadlines, updating project timelines and making adjustments when necessary. Prepare and maintain project documentation, such as contracts, reports, meeting notes, and change orders, ensuring accuracy and compliance with project requirements. Organize project meetings, including preparing agendas, taking minutes, and following up on action items. Communicate with team members, clients, and stakeholders to keep everyone informed about project status, deliverables, and deadlines. Support project managers in identifying and resolving issues, risks, and delays to ensure the project stays on track. Maintain project databases and filing systems, ensuring documents are easily accessible and up-to-date. Assist with the preparation of project budgets, invoices, and purchase orders, and track project expenses to ensure they align with the budget. Coordinate project reporting, ensuring that progress reports, status updates, and other documentation are provided to clients and stakeholders as needed Stay current with industry trends and advancements, leveraging new technologies to improve construction processes. Travel to any job site as needed. This could include the need to drive a vehicle, fly in a commercial airplane, ride a train, taxi, etc. This position requires the ability to travel nationally or internationally for extended periods of time (weeks, months or years). Regular attendance at work is an essential duty. Other tasks as assigned. Conform to company Quality, Environmental, and Safety policies, any environmental laws, regulations, standards, and other requirements such as permits to operate
Required Skills/Abilities:
Proven experience as a project coordinator or in a similar administrative support role. Strong organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines. Excellent communication skills, both written and verbal, for collaborating with team members and stakeholders. Proficiency in project management software (e.g., Microsoft Project, Asana, Trello) and Microsoft Office Suite (Excel, Word, PowerPoint). Strong attention to detail and accuracy, with the ability to manage and maintain documentation effectively. Ability to work independently and as part of a team in a fast-paced environment. Basic knowledge of project management principles and processes is preferred. Ability to function well in a high-paced and at times stressful environment. Proficient with Microsoft Office Suite or related software.
Education, Experience, and Training:
Education:
Bachelor's degree in Business Administration, Project Management, or a related field (or equivalent work experience).
Experience:
0-3 years of experience in project engineering or a related role, with a proven track record.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times. Standing for extended periods of time while at a work site (if applicable) Walking up to 3-4 miles a day from one part of a job site to another (if applicable) Climbing stairs and ladders could be expected if working in a field environment (if applicable)
