As the lead coordinator for each school account, this role requires a highly organized, detail-oriented professional who excels at managing complex projects, organizing large volumes of information and student data, coordinating multiple stakeholders, and ensuring seamless execution of Picture Day experiences from contract through final deliverables. This position serves our beloved school administrators—the customers at the heart of the Slow Road Photo experience. By building trusted relationships with school partners and providing proactive, high-touch support throughout the year, the School Relationships Director helps position school administrators as the heroes within their communities while ensuring every photography experience is thoughtfully customized to meet each school's unique needs. Success in this role requires exceptional computer proficiency, strong administrative and project management skills, outstanding communication abilities, meticulous attention to detail, and the ability to efficiently manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Account & Project Management Serve as the primary relationship manager and project coordinator for school accounts, utilizing Asana for internal project management and Hubspot for customer facing communications. Manage multiple Picture Day projects simultaneously while maintaining exceptional attention to detail and customer service. Create, administer, and oversee contracts and account documentation throughout the year. Develop and manage comprehensive Picture Day schedules, timelines, deliverables, and project plans. Coordinate cross-functional efforts between school partners and internal Slow Road Photo teams to ensure successful project execution. Track project milestones, deadlines, and deliverables while proactively identifying and resolving potential obstacles. School Partner Communication & Relationship Management Build and maintain strong, trusted relationships with school administrators and key stakeholders. Serve as the primary point of contact for school partners. Communicate proactively via phone, email, and in-person meetings to ensure partner needs are understood and addressed. Lead annual review conversations to gather feedback, strengthen partnerships, and identify opportunities for continuous improvement. Provide consultative support and creative solutions tailored to each school's unique needs and goals. Data Management & Administrative Operations Manage, organize, and maintain student data and account information across multiple software platforms and systems, including Asana, Slack, Hubspot, Quickbooks, and Workflow. Ensure the accuracy, completeness, and integrity of all student, school, and project-related data. Maintain organized digital records, documentation, schedules, contracts, and communication logs. Create and manage operational workflows that improve efficiency and ensure consistent execution. Generate and update reports, schedules, project documentation, and account records as needed. Monitor and manage administrative processes to ensure all deliverables are completed accurately and on time. Picture Day Coordination Collaborate with school partners to create Picture Day plans that provide a positive experience for students, staff, and Slow Road Photo team members. Prepare onsite teams with the information, context, schedules, and tools necessary for successful execution. Attend Picture Day events as needed to support school partners and ensure operational excellence. Respond quickly and professionally to changing circumstances and real-time challenges. Ensure all contracted products and services are delivered according to expectations and timelines Business Development & Service Expansion Identify opportunities to provide additional photography services throughout the year. Collaborate with school partners to develop customized solutions that support their needs. Contribute to the growth and retention of school partnerships through exceptional service and relationship management. Required Skills & Competencies:
Advanced Computer & Technology Skills High level of proficiency with computers, software platforms, databases, cloud-based applications, and digital communication tools. Ability to quickly learn and effectively utilize multiple internal software systems. Strong experience with data entry, data management, digital file organization, and record maintenance. Advanced proficiency in Google Workspace, Asana, Hubspot, Slack, Quickbooks, and macOS/iOS. Ability to efficiently navigate multiple systems while maintaining accuracy and attention to detail.
