This role requires a highly organized, detail-oriented professional who enjoys building relationships, managing information, coordinating projects, and supporting successful Picture Day experiences. The School Relationships Associate works closely with school administrators and internal team members to ensure projects are executed smoothly, timelines are met, and school partners receive thoughtful, responsive support throughout the year. This position serves our beloved school administrators—the customers at the heart of the Slow Road Photo experience. By building trusted relationships with school partners and providing proactive support, the School Relationships Associate helps create exceptional experiences that meet each school's unique needs while supporting the success of the broader Slow Road Photo team. Success in this role requires strong computer proficiency, administrative and organizational skills, excellent communication abilities, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This position reports to the School Relationships Director. Key Responsibilities Account & Project Coordination Support and manage assigned school accounts while serving as a trusted resource for school partners throughout the year. Coordinate multiple Picture Day projects simultaneously while maintaining exceptional attention to detail and customer service. Prepare, maintain, and manage contracts and account documentation throughout the year. Coordinate Picture Day schedules, timelines, deliverables, and project plans in collaboration with school partners and internal teams. Facilitate communication between school partners and internal Slow Road Photo teams to support successful project execution. Track project milestones, deadlines, and deliverables while proactively communicating potential concerns or obstacles. Utilize Asana for project coordination and HubSpot for school partner communications and account management. School Partner Communication & Relationship Management Build and maintain strong, trusted relationships with school administrators and key stakeholders. Serve as a primary point of contact for assigned school partners. Communicate proactively via phone, email, and in-person meetings to ensure partner needs are understood and addressed. Participate in annual review conversations with school partners and help gather feedback to support continuous improvement. Help identify and implement solutions that support each school's unique needs and goals. Deliver a high-touch customer experience that reflects Slow Road Photo's commitment to service and partnership. Data Management & Administrative Operations Manage, organize, and maintain student data and account information across multiple software platforms and systems, including Asana, Slack, HubSpot, QuickBooks, Workflow, Google Workspace, and macOS/iOS applications. Ensure the accuracy, completeness, and integrity of all student, school, and project-related data. Maintain organized digital records, documentation, schedules, contracts, and communication logs. Follow established workflows and contribute ideas that improve efficiency and consistency. Generate and update reports, schedules, project documentation, and account records as needed. Monitor administrative processes to ensure deliverables are completed accurately and on time. Maintain confidentiality and exercise discretion when handling student, school, and company information. Picture Day Coordination Collaborate with school partners to create Picture Day plans that provide a positive experience for students, staff, and Slow Road Photo team members. Prepare onsite teams with the information, context, schedules, and tools necessary for successful execution. Attend Picture Day events as needed to support school partners and ensure a smooth experience. Respond professionally and calmly to changing circumstances and real-time challenges. Help ensure all contracted products and services are delivered according to expectations and timelines. School Partnership Support Identify opportunities to better serve school partners throughout the year. Share school feedback and service opportunities with leadership and relevant team members. Support the retention and growth of school partnerships through exceptional customer service and relationship management. Help connect school partners with additional photography services when appropriate. Required Skills & CompetenciesAdvanced Computer & Technology Skills High level of proficiency with computers, software platforms, databases, cloud-based applications, and digital communication tools. Ability to quickly learn and effectively utilize multiple internal software systems. Strong experience with data entry, data management, digital file organization, and record maintenance. Advanced proficiency in Google Workspace, Asana, HubSpot, Slack, QuickBooks, macOS/iOS, spreadsheets, and project management software. Ability to efficiently navigate multiple systems while maintaining accuracy and attention to detail. Strong aptitude for technology and process management. Project Coordination & Organization Strong project coordination skills with the ability to manage multiple priorities and deadlines simultaneously. Outstanding organizational abilities and attention to detail. Excellent time management skills and the ability to prioritize responsibilities effectively. Ability to follow established systems and processes while managing projects efficiently and accurately. Ability to consistently meet deadlines while maintaining a high standard of quality. Proven ability to stay organized while managing large volumes of information, communications, and project details. Administrative Excellence Strong administrative and operational support skills. Ability to manage contracts, schedules, records, documentation, and communications with a high degree of accuracy. Experience handling sensitive information and maintaining confidentiality. Strong data organization and record-keeping abilities. Ability to maintain organized systems that support operational excellence. Preferred Qualifications 1-3 years of experience in customer service, account coordination, administrative support, project coordination, operations, education, or a related field. Experience working with CRM systems, project management software, or customer-facing administrative roles. Experience managing multiple projects, accounts, or customer relationships simultaneously.
