This position plays a critical role in managing job documentation, coordinating communication, maintaining compliance, and ensuring restoration projects move efficiently from intake to completion. Position Title Insurance Restoration Job File Coordinator Employment Type Full-Time Industry Insurance Restoration / Fire & Water Restoration Compensation $50,000 - $70,000 annually (Based on experience and qualifications) About the Role The Job File Coordinator is responsible for managing restoration job files, supporting project managers and field teams, coordinating documentation, and maintaining communication with customers, insurance carriers, adjusters, and vendors throughout the restoration process. This role requires excellent organizational skills, urgency, professionalism, and the ability to manage multiple active projects simultaneously. Key Responsibilities Create and manage restoration job files from intake through completion Maintain accurate project documentation and notes Coordinate communication between customers, insurance adjusters, project managers, technicians, and vendors Monitor job progress and ensure required documentation is completed on time Upload and organize photos, estimates, invoices, work authorizations, and insurance documents Assist with scheduling inspections, mitigation services, rebuild activities, and customer updates Track approvals, supplements, and outstanding documentation Support billing and collections processes when needed Ensure compliance with company procedures and insurance carrier requirements Maintain organized digital and physical records Assist leadership with reporting and administrative support Qualifications Preferred Experience Experience in insurance restoration, construction, mitigation, or related industries preferred Experience with restoration software such as: Xactimate Drybooks DASH Microsoft Office / Google Workspace Skills & Requirements Strong organizational and multitasking abilities Excellent communication and customer service skills Ability to work in a fast-paced environment High attention to detail Ability to prioritize deadlines and manage multiple active projects Professional phone and email communication Self-motivated and dependable Basic understanding of insurance claims and restoration workflow preferred What We Offer Competitive salary Career growth opportunities Supportive team environment Paid training Paid time off Company technology and tools Opportunity to grow within a rapidly expanding restoration company Ideal Candidate The ideal candidate is proactive, organized, customer-focused, and able to manage the moving parts of multiple restoration projects while maintaining professionalism and urgency.
