Job Description

Work Balance Approximately 60% of projects will be designed and managed in-house by the Assistant Project Manager. Approximately 40% will involve oversight and management of external consultants or contractors.
Qualifications:
Associate's degree or higher in project management, construction management, public administration, or a related field; or an equivalent combination of education and experience. 1-3 years of project coordination or related experience preferred. Strong communication, organization, and problem-solving skills. Proficiency in Microsoft Office; familiarity with construction/technical documents is a plus. Valid driver's license.
Preferred:
Degree in Construction Management, Architecture, Landscape Architecture, or Engineering. Experience in project management, construction administration, or design. Proficiency in drafting or design software such as AutoCAD, Revit, or SketchUp. Position Overview The City of Oxford is seeking an organized, detail-oriented Assistant Project Manager to support planning and execution of municipal capital projects, facility improvements, and special initiatives. This position works closely with the Director of Special Projects and coordinates with multiple departments, consultants, and contractors to help keep projects on schedule, on budget, and well-documented. The ideal candidate will bring creativity and design insight, balanced with organization, attention to detail, and strong communication skills. The Assistant Project Manager will play a critical role in shaping the city's built environment by ensuring that projects are well-conceived, well-executed, and aligned with community needs. Key Responsibilities Project Development & Planning Assist the Director of Special Projects with the planning, coordination, and execution of municipal capital projects, building renovations, public works initiatives, and special assignments. Help manage project schedules, milestones, and deadlines; track progress and communicate updates to relevant departments, consultants, vendors, and contractors. Support development of project scopes, RFPs/RFQs, bid packages, evaluation criteria, and Board of Aldermen agenda materials. Conduct site visits, prepare field observations, and coordinate with contractors, architects, engineers, and inspectors to ensure compliance with project requirements. Assist with reviewing invoices, pay applications, change orders, and budget tracking. Maintain organized project files and records, including contracts, permits, correspondence, and regulatory documents. Assist in procurement processes, including vendor coordination, scheduling pre-bid meetings, and ensuring compliance with state and municipal purchasing laws. Provide general administrative and logistical support for the Director of Special Projects. Project Execution & Management Assist the Director of Special Projects with assigned projects. Coordinate with consultants, contractors, and city departments throughout the life of each project. Conduct regular progress meetings and maintain clear communication among all stakeholders. Review design documents, construction drawings, and specifications to ensure alignment with project goals. Oversee quality control, contract compliance, and adherence to city standards. Manage pay applications, change orders, and budget tracking. Maintain accurate and complete project documentation and records.
