Full Job Description Overview:
The Project Coordinator will support JP Management's Capital Expenditures (CapEx) team by coordinating, tracking, and documenting all phases of capital improvement projects across the property portfolio, including its South Jersey properties (i.e. Toms River). This role ensures project documentation, contracts, timelines, budgets, and vendor communication are properly maintained and executed to support efficient delivery of renovation, repair, and capital improvement work.
Key Responsibilities:
Monitor project timelines and milestones by tracking schedules, deliverables, and deadlines; maintain up‑to‑date status logs and reporting dashboards to keep leadership informed of progress and emerging issues. Provide day‑to‑day support to the CapEx team by answering inquiries, gathering project information, preparing summaries, and generating ad‑hoc reports to support informed decision‑making. Assist in vendor onboarding and ensure compliance with required documents (W-9, COI, etc.) Maintain communication with contractors and vendors regarding timelines, deliverables, and site requirements. Identify and resolve any missing information provided with vendors and compare it with the contractual information. Ensuring vendors remain compliant with contractual and insurance documentation. Assist in tracking project budgets, forecasting, change orders, and financial impacts. Communicate project schedules, site impacts, and updates to property managers and regional leadership. Ensure CapEx projects adhere to safety and compliance guidelines across properties. Provide weekly and monthly reporting on project progress, budget status, and outstanding issues. Travel throughout the JP Management portfolio is required (approximately 75% of the time), including regular visits to properties in both South Jersey and North New Jersey. Other duties as assigned by management.
Base Salary:

2+ years of experience in property management. Strong organizational skills with the ability to manage multiple projects simultaneously under strict timelines. Direct experience with multifamily property operations and capital projects. Strong organizational and advanced analytical skills, with high attention to detail. Ability to interact professionally with contractors, internal teams, and leadership. Proficiency in Microsoft Office (Word, Excel, Outlook, and Teams) is required. Direct experience with multifamily property operations and capital projects. Must be available to work Monday through Friday, 8:30 AM - 5:00 PM (with a 30-minute lunch break).
