Job Description

Overview We are seeking a dynamic and highly organized Project Coordinator for Contract Furniture to join our team! As a vital link between teams, clients, and vendors, you will coordinate project activities, facilitate communication, and support the overall success of our initiatives. Duties Assist in developing project plans, timelines, and budgets to ensure timely delivery of objectives Coordinate meetings, prepare agendas, and document minutes to keep all stakeholders aligned Manage project documentation, files, and records with meticulous attention to detail Communicate regularly with team members, clients, and vendors via phone, email, and in-person to facilitate smooth workflow Track project progress using tools like Microsoft Office and Google Workspace, updating status reports as needed Support office management tasks including calendar management, filing, data entry, and proofreading documents Provide exceptional customer support by addressing inquiries promptly and professionally Oversee administrative functions such as bookkeeping, invoicing using QuickBooks, and maintaining office supplies Handle front desk responsibilities including multi-line phone systems and greeting visitors with professionalism Assist with clerical duties like typing correspondence, organizing files, and managing appointments Experience Proven experience in office management or administrative roles with a strong background in clerical support Familiarity with project coordination tools and software such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace Prior experience working at a front desk or as a receptionist (medical or dental receptionist experience is a plus) Strong organizational skills with the ability to prioritize tasks effectively in a busy environment Excellent phone etiquette and customer service skills with bilingual proficiency preferred for enhanced communication capabilities Knowledge of office equipment including multi-line phone systems and data entry tools Demonstrated ability to handle confidential information discreetly and maintain professionalism at all times Previous bookkeeping or personal assistant experience is advantageous but not required Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced setting Join us to be part of an energetic team dedicated to excellence!
