Company Description SGF Engineering provides over 28 years of HVAC & Plumbing expertise to architects, owners, and design-build contractors for new and existing projects of all sizes. The company is located in Reno, NV. Role Description The role shall organize, manage, and perform an extensive array of secretarial, administrative, and project support activities on behalf of the Principal, Project Managers, Production team and Administrative Staff. You help create and execute project schedules, greet and communicate with staff, client, and guests, and maintain an effective workflow in the office. The administrative project coordinator may also take on many other duties regularly associated with office management, including filing, creating memos and reports for projects. Job Requirements Strong organizational and multi-tasking skills. Excellent analytical and problem solving abilities. Team-management and leadership skills. Documentation management and ability to use project management tools. Attention to details even under pressure. Time management skills with the ability to meet deadlines . Strong written and verbal communication. Proficient in Microsoft Office programs. Experience with QuickBooks. 2+ years of experience in the construction industry. Job Duties Prepare proposals for Project Managers. Set up Projects in QuickBooks and Trello, create and maintain project folders, and files on server as received via email from staff and clients. Project tracking and updating project list to reflect current state of projects. Collects, enters, and maintains information to maintain departmental databases and records of projects. Create, prepare, and deliver reports to various departments. Establish procedures with Project Managers to ensure interoffice coordination of projects and maintain consistently high-quality standards. Provide assistance to staff and managers as needed. Perform clerical duties, such as filing, and responding to emails. Organize meetings and ensure project schedules are met for each department. Performs additional administrative job-related duties as assigned. Greet guests, answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. Set up and manage paper and electronic filing systems to record information, update paperwork, and maintain essential documents (e.g., attendance records, correspondence). Schedule and coordinate meetings, appointments, and travel arrangements for staff as needed; prepare meeting materials and take meeting minutes. Manage incoming and outgoing mail and packages; coordinate courier and shipping services when required. Manage inventory of office supplies.
