Job Description

Job title: Assistant Project Coordinator Reporting to:
COO Summary:
The Assistant Project Coordinator (APC) role is a career for a highly organized, detail-orientated, driven individual with excellent customer relations skills and technical/systems proficiency to support the Field Management team, PM and COO in all facets of project administration for high-end, custom, residential home builds and renovations and smaller commercial projects. Duties include, but are not limited to, assisting in contract drafting and execution, job site readiness, timeline management, custom materials research and procurement and finish list management. The APC role provides critical support to the Management team to ensure the accurate execution of construction contracts, deadlines adherence and comprehensive control and tracking of finishes specifications and client choices through project delivery. Successful candidates who excel in the role can be considered for further promotion in either Project or Operations management. APC
  • Attitude and Client Service:
  • Maintain an effective communication channel with Management and the client/architect as directed, to manage expectations and deliverables regarding contract creation and execution and materials specifications, client choices and pricing; anticipate issues and ensure consistent, positive engagement and long-term customer loyalty
  • Demonstrate a solution-orientated approach through positive and proactive thinking
  • Actively collaborate with the Management team: show openness to different perspectives and flexibility in applying solutions
  • Seek input from others and utilize available resources effectively

  • Organization, Awareness and Safety:
  • Assist in the organization of project documentation, including architectural plans, structural plans, schematics, blueprints and other critical project documents and their availability to key Field Staff via OneDrive and onsite
  • Maintain estimated and real-time procurement data to facilitate accurate project reporting
  • Maintain detailed and organized OneDrive files for all relevant 3GB contracts and finishes records
  • Develop a detailed understanding of 3GB's contract process, project tracking and financial standard operating procedures for purchases to ensure maximum efficiency in all aspects of project administration
  • Develop a detailed understanding of 3GBs vendor network, material group lead times and preferred pricing vendors APC
  • Knowledge and Technique:
  • Partner with the COO to draft, review and distribute construction contracts, including analysis of all costing and scope narratives
  • From project scope review, work with Management to develop list of all custom materials/finishes and overlay with project timeline to develop milestone selection and purchasing deadlines
  • Demonstrate excellence in the creation and management of Excel tracking worksheets/Gantt charts, to facilitate timely and accurate procurement; and produce customized documentation for client review
  • Partner with the Field Management team to ensure compliance with critical field team behaviors, including but not limited to accurate reporting on daily tasks, Change Orders and additional scope
  • Work with the COO on relevant aspects of client financial management including financial reconciliations, change order data and custom client reporting
  • Collaborate with Management to assist in the production of materials cost analysis and project data to continually evolve 3GB's profitability strategies and ensure financial risk is mitigated during project duration
  • Demonstrate a comprehensive understanding of 3GB standard operating procedures and workflows APC
