Job Title:
Distribution CoordinatorJob Description The Distribution Coordinator supports a Power Distribution Engineering team by managing project tracking, coordination, and permitting activities in a fast-paced office environment. This in-office role focuses on assisting with permits for pole replacement and major projects, providing administrative and coordination support to leaders and staff, and helping ensure project objectives are met and customer expectations are achieved. The position offers strong training opportunities and exposure to the utility and power distribution industry, including the chance to learn distribution design work as responsibilities grow. Responsibilities + Assist in the Permitting Program within Asset Design by creating permits for pole replacement and major projects. + Support managers, supervisors, and staff with general day-to-day operations as needed to keep projects on track. + Assist in preparing a variety of documents and materials, including proposals, presentations, and project deliverables, using word processing, graphics, layout, editing, and final production tools. + Provide administrative support such as data entry, document control, scheduling, and coordination of project activities. + Assist with scheduling and logistical preparation in support of storm restoration response efforts. + Communicate daily with internal team members and clients to coordinate activities, clarify requirements, and support project progress. + Promote office and project safety by demonstrating safety as a priority and adhering to all company and client safety policies. + Track and manage day-to-day activities, helping to maintain project schedules and documentation. + Participate in training opportunities to learn power distribution and utility industry practices, including exposure to distribution design work when administrative workload allows. + Perform other duties as assigned to support the Power Distribution Engineering team and overall project success. Essential Skills + Strong organizational skills with the ability to track and manage day-to-day activities. + Proficiency with computers, including spreadsheets and Microsoft Excel. + Proficiency with Microsoft Outlook and other basic office software. + Effective written and verbal communication skills, with the ability to communicate daily with internal stakeholders and clients. + Customer service mindset and ability to work collaboratively with a project team. + Data entry skills and attention to detail in handling project information and documentation. + High school diploma or equivalent. + Demonstrated interest in professional growth and development within the role. + Ability to work effectively in a fast-paced construction-oriented environment with tight deadlines. + Willingness to learn about the utility and power distribution industry. Additional Skills & Qualifications + Associate or bachelor's degree, while not required, is acceptable and valued. + Prior experience with project tracking, scheduling, and document control. + Proficiency in Microsoft Office applications, particularly Excel. + Experience with Smartsheet software. + Experience with GIS (Geographic Information System) software. + Interest in or understanding of power distribution and distribution design. + Familiarity with the utility industry. + Familiarity with the National Electrical Safety Code (NESC) is a plus but not required. + Ability to adapt to changing priorities and support multiple projects simultaneously. + Growth mindset and willingness to ask questions, seek feedback, and build new skills. Work Environment This is a fully in-office position based in a Liverpool, NY office within a Power Sector organization. The Distribution Coordinator works primarily with the Distribution Team, which consists of approximately 15 people, alongside a smaller Environmental Team in the same office. The environment is fast paced, with a construction and utility focus, and operates under tight deadlines. Team members are highly self-accountable, work hard, and maintain strong, supportive relationships that create a sense of family and friendship. The culture emphasizes professional growth, continuous learning, and a willingness to train team members, including providing opportunities to learn power distribution design work when administrative tasks are lighter. The role uses standard office technologies and software, including Microsoft Office (especially Excel and Outlook), and may also involve tools such as Smartsheet and GIS software. Job Type & Location This is a Contract to Hire position based out of Liverpool, NY. Pay and Benefits The pay range for this position is $20.00 - $22.00/hr.
