Job Description

Job Summary We are a leading NYC sidewalk shed and scaffolding contractor looking for a sharp, organized and dependable Permitting Coordinator to join our three-person permit renewal team. This is a hands-on role supporting our permit renewal process with the NYC Department of Buildings and other local jurisdictions. You'll work collaboratively with two other team members to manage renewals from start to finish, ensuring our projects stay compliant and our clients stay informed. Duties Coordinate permit renewals with the NYC Department of Buildings and other local jurisdictions, tracking expiration dates and submission deadlines Prepare and submit renewal applications through DOB NOW and other agency portals Communicate with Registered Design Professionals (RDPs) to obtain required attestations and documentation for permit renewals Follow up with clients, building owners, and general contractors regarding renewal fees, RDP coordination, and compliance obligations Track renewal status and resolve filing issues, DOB objections, and blocking violations Process renewal invoices and billing; track outstanding balances and follow up on past-due accounts Coordinate with project teams to ensure timely renewals and avoid permit lapses Communicate professionally with clients, RDPs, attorneys, DOB staff, and internal team members Support the team with general administrative tasks related to the permit renewal process Qualifications Proven experience in an office or administrative environment; construction industry experience strongly preferred Strong computer skills with proficiency in Microsoft Outlook, Word, and Excel Familiarity with QuickBooks is desirable Excellent organizational skills with the ability to manage multiple deadlines and priorities efficiently Strong attention to detail for accurate data entry, documentation, and deadline tracking Comfortable learning new systems (experience with DOB NOW or similar permitting portals a plus) Previous clerical, administrative, or customer service experience demonstrating strong follow-through
