Job Description

Job Summary We are seeking a proactive and detail-oriented Assistant Project Manager to join our dynamic team. In this vital role, you will support project planning, coordination, and execution across various initiatives, ensuring timely delivery and quality standards are met. Your energetic approach and organizational skills will help drive project success while maintaining excellent communication with team members, customers, and vendors. Responsibilities Drive each job to ensure worry-free projects for our customers, vendors, and employees. Develop beneficial relationships with internal and external project stakeholders to increase the likelihood of project success, create opportunities, and improve reoccurring revenue stream. Communicate regularly with team members, clients, and vendors to facilitate collaboration and resolve issues promptly. Accurately estimates material and labor with the intent of creating competitive advantage to maximize closure ratio. Utilize office management software including Microsoft Office Suite for efficient task execution. Accurately process close outs in a timely manner and evaluate the project's performance to drive continuous improvement. Provides the management team with weekly and monthly job status reports and updates on the sales account plans and opportunities projected to close. Oversees the internal setup for proper tracking and documentation of assigned projects. Assist the Project Manager in reviewing and closing out jobs to facilitate timely customer billing; assist in driving the collection process for assigned project outstanding accounts receivables. Manages the change order process ensure all changes in scope of work are captured; obtains pricing information and submits change order requirements and pricing for customer approval; accurately tracks and logs all change orders throughout the change order process. Oversees the execution and operational efficiency of all assigned projects to ensure a quality on-time completion. Requirements Proven experience in office management or administrative support roles with clerical responsibilities. Strong computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Exceptional phone etiquette and customer service skills for professional communication via multi-line phone systems or front desk operations.
