Job Description

Purpose of Position The Project Accountant is responsible for coordinating all financial and logistical aspects of assigned projects from inception through completion. This role ensures timely procurement, accurate tracking, and proper documentation of materials and costs, while supporting internal teams with billing, reporting, and vendor coordination. Key Responsibilities Project Procurement & Logistics Review work orders, change orders, and related project documents to determine material requirements. Prepare and maintain detailed materials lists for assigned jobs. Procure all necessary materials by communicating with preferred vendors via phone, email, and online platforms. Track orders to ensure timely shipping and delivery of materials. Coordinate material deliveries and will-call pickups with project managers and warehouse staff. Verify pricing and resolve any discrepancies related to invoices, shipments, or backorders. Utilize remnant stock when applicable for efficient use of inventory. Accounting & Documentation Accurately enter purchase orders into QuickBooks for accounting and job costing. Track and process all purchasing-related requisitions (REQs) and vendor credits. Manage and maintain vendor price lists; distribute updates to internal teams. Assist in contractor billing for assigned customers and contracts. Prepare lien releases, schedules of values, and other required contract documentation. Perform monthly billing reviews, forecasts, and investigations. Follow up on collections for assigned accounts. Project Administration Support Project Estimators and Managers with material availability, lead times, and product data. Track outstanding TBD items and lead times, and provide timely reminders to the sales team. Request and maintain Certificates of Insurance, bond requests, and Intent/Affidavit documentation for assigned jobs. Coordinate project correspondence and maintain organized electronic and physical project files. Manage customer contract documentation requirements. Submittal Material Samples Track incoming product samples, organize and package materials, and coordinate delivery to the sales team or shipment to customers. Job Auditing & Reporting Conduct periodic audits of assigned projects to ensure accuracy of job costing, billing, purchase orders, and documentation. Review project financials to identify discrepancies, missing costs, or billing issues. Assist with project closeout audits and ensure all required documentation has been completed and filed. Prepare reports and provide recommendations to improve project profitability, accuracy, and process compliance. General Administrative Duties Provide administrative support to sales and project management teams. Answer and respond to internal and external inquiries regarding project documentation and billing. Perform other duties as assigned to support company operations and project success.
