This role is highly execution-focused, responsible for coordinating documentation, processing orders, supporting billing, and keeping internal teams aligned. The Coordinator works closely with the outside estimator, project managers, and installation team to ensure project details are accurate, materials are ordered correctly, and timelines stay on track. This is a fast-paced, high-volume environment requiring strong organization, attention to detail, and the ability to support multiple stakeholders at once.
Key Responsibilities Project Coordination & Team Support:
Support project managers in day-to-day coordination of active commercial flooring projects Act as a key liaison between the outside estimator, project managers, and installation team Assist in maintaining accurate and up-to-date project information across all phases Help track project timelines, flagging missing information, delays, or inconsistencies Coordinate communication between internal teams and customers as needed Estimating & Pre-Construction Support:
Work closely with the outside estimator to help process bids, proposals, and project handoffs Assist in reviewing estimates, material take-offs, and project scope for accuracy Help ensure a smooth transition from estimating to project execution Support pricing updates, product selections, and scope clarifications Order Management & Operations:
Convert estimates and material take-offs into work orders within internal systems Coordinate with purchasing to ensure materials are ordered accurately and on schedule Assist with product tracking, delivery coordination, and order updates Support installation team with job details, material needs, and project updates Billing, Change Orders & Documentation:
Assist with AIA billing processes and ensure supporting documentation is complete Help process and track change orders, ensuring alignment with project scope Maintain organized project files, including contracts, submittals, and approvals Support preparation and submission of closeout documentation Qualifications:
2+ years of experience in project coordination, construction support, or operations Experience working alongside estimators, project managers, or field teams preferred Exposure to commercial construction, flooring, or building materials a plus Familiarity with AIA billing, submittals, and project documentation preferred Strong organizational skills with the ability to manage multiple projects simultaneously Detail-oriented with strong follow-through and communication skills Pay:
