A small, client-focused financial services business is seeking a highly organized Administrative Manager to work directly with the CEO. This role is focused on coordinating projects, keeping the team on track, and ensuring client communication is handled consistently and professionally. This is not a purely task-based role. You will be responsible for making sure things move forward, deadlines are met, and nothing falls through the cracks. Responsibilities Coordinate projects and ensure tasks move from start to finish Track deadlines and follow up with team members to ensure work is completed on time Help manage the process of hiring and coordinating Subject Matter Experts Coordinate client progress workflows, including scheduling and tracking client meetings Communicate directly with clients to gather information and keep projects moving Handle client outreach primarily by phone, with voicemail and email follow-up as needed Organize and maintain workflows using spreadsheets and internal tracking systems Manage the CEO's calendar and assist with email communication Document key interactions and ensure important details are properly recorded Client Communication This is a relationship-driven business, and communication is a critical part of the role. You must be comfortable picking up the phone and speaking with clients regularly. What This Role Requires Strong attention to detail with consistent follow-through Ability to manage multiple moving parts without losing track of priorities Clear and confident communication, especially on the phone Comfort working with spreadsheets and tracking systems Ability to learn quickly and take ownership of responsibilities Able to figure things out with minimal direction once trained Reliable, organized, and accountable to deadlines This role does not require prior experience in financial services. Training will be provided. However, you are expected to take ownership of your responsibilities quickly and contribute to keeping operations running smoothly. Compensation and Schedule Full-time position Hybrid, but primarily remote Starting salary of $70,000 per year, with flexibility based on experience About the Business This is a small, well-established business serving a select group of clients with a high standard of care. The focus is on coordinating multiple aspects of each client's financial life and ensuring a consistent, high-quality experience.
