Job Description

Job Summary We are seeking a dynamic and organized Assistant Project Manager to join our team and support the successful execution of various projects. This role is vital in coordinating project activities, managing administrative tasks, and ensuring smooth communication among team members and stakeholders. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to help drive projects forward efficiently. Duties Assist in planning, organizing, and monitoring project timelines and deliverables to ensure timely completion Coordinate with team members, clients, and vendors to facilitate effective communication and collaboration Maintain detailed project documentation, including reports, schedules, and correspondence Manage administrative tasks such as data entry, filing, and proofreading project-related materials Support calendar management for project meetings, deadlines, and appointments using tools like Google Workspace and Microsoft Office Handle front desk responsibilities including greeting visitors, managing multi-line phone systems, and providing excellent customer service Oversee office management duties such as supply ordering, filing systems, and maintaining a professional work environment Requirements Proven experience in office management or administrative support roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent computer literacy with the ability to quickly adapt to new software tools like QuickBooks or data entry systems Strong phone etiquette skills with experience managing multi-line phone systems and customer support calls Bilingual abilities are highly desirable to communicate effectively with diverse teams and clients Previous clerical or receptionist experience in medical or dental settings is a plus Exceptional time management skills with the ability to prioritize tasks efficiently Attention to detail for proofreading documents and maintaining accurate records Experience with bookkeeping or basic financial record keeping is advantageous Personal assistant or medical receptionist experience will be considered a valuable asset Join us as an Assistant Project Manager to contribute your organizational expertise while gaining valuable project coordination experience.
