Your impact As an Assistant Project Manager, you'll be an integral part of the Jacobs' organization. This role plans and supports a variety of assignments related to project delivery and strategic growth of the group to position Jacobs for success. Working with other members of the team, you'll perform a variety of activities, ranging from coordination of ongoing projects, support of project progress through gated execution model, team communication and training, document management, stakeholder coordination and other activities to support Project Manager(s) and project delivery. The Assistant Project Manager is responsible for updating project documentation, files, and logs; maintaining project governance documentation; and distributing, tracking, and securing approvals for project files and information. This role also includes maintaining project databases, processing vendor data, interfacing with internal personnel and clients, and mentoring or assisting coworkers and customers as needed. Key Responsibilities:
Project Coordination & Support Collaborate closely with the Project Manager (PM) and cross-functional team members to ensure alignment on scope, schedule, costs, quality, risks, and deliverables. Assist in coordinating meetings, tracking action items, and ensuring timely follow-through across all stakeholders. Change Management & Analysis Investigate, compile, and analyze relevant technical, cost, and schedule information to support the PM in evaluating change requests. Provide structured insights and recommendations to facilitate informed decision-making. Progress Tracking & Reporting Prepare and deliver concise weekly status reports, including: o Summary of completed activities o Upcoming work and priorities o Identification of risks, issues, and potential roadblocks Maintain accurate and up-to-date project documentation. Risk & Issue Management Identify potential risks, gaps, and dependencies early, and escalate concerns to the PM with recommended mitigation strategies. Monitor ongoing risks and ensure visibility across the project team. Stakeholder Communication Support communication between PM and internal team to ensure clarity and consistency. Multitasking & Execution Demonstrated ability to manage multiple parallel tasks and drive them through to completion in a fast-paced environment. Consulting & Stakeholder Engagement Comfort working within large, complex consulting environments with diverse stakeholder groups (internal and external). Strong interpersonal skills with the ability to build effective working relationships. Analytical & Logical Thinking Engineering or logic-driven mindset with the ability to break down complex problems and develop structured solutions. Organization & Attention to Detail Highly detail-oriented with strong organizational and time-management skills. Ability to manage documentation, timelines, and deliverables with precision. Communication Skills Clear and concise written and verbal communication skills, especially in reporting and summarizing information.
